Key Responsibilities :
Client Reception – Be the welcoming face of the firm! Greet clients and visitors professionally, direct them to the appropriate person, and ensure a seamless office experience.
Phone Management – Handle incoming calls, direct inquiries to the right departments, take detailed messages, and provide top-tier customer service.
Appointment Scheduling – Coordinate meetings with attorneys and clients, manage calendars, and send timely appointment reminders.
Mail & Document Handling – Receive, sort, and distribute mail, as well as prepare, copy, and file legal documents.
Office Administration – Keep the office running smoothly by maintaining supplies, organizing the reception area, and assisting with basic office maintenance.
Data Entry – Input and update client information in the firm's database, ensuring accuracy and confidentiality.
Legal Filing – Support legal staff with filing documents electronically and with the appropriate court as needed.
Requirements
Strong communication & interpersonal skills – Ability to interact professionally with clients, attorneys, and staff.
Exceptional organizational abilities – Manage multiple tasks, prioritize responsibilities, and maintain efficiency.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) – Essential for data entry and document management.
