Responsibilities
- Manage executives' calendars, including scheduling meetings and appointments while prioritizing conflicting demands.
- Provide outstanding customer service by addressing inquiries and concerns promptly and professionally.
- Coordinate projects by tracking progress, deadlines, and deliverables to ensure timely completion.
- Utilize Outlook Calendar for scheduling and managing appointments effectively.
- Demonstrate excellent phone etiquette when handling calls, ensuring a professional representation of the organization.
- Perform data entry tasks accurately while maintaining confidentiality of sensitive information.
- Execute clerical duties such as preparing statistical reports, receiving visitors, and arranging conference calls.
- Proofread documents for accuracy and clarity before distribution or presentation.
- Act as a personal assistant to executives, assisting with various administrative tasks as needed.
- May act as immediate Supervisor's personal representative in dealing with the public and in routine contacts with other State executives; perform special assignments, studies, and routine administrative functions as specifically directed; screen incoming correspondence, refer to appropriate staff, and follow up to assure timely responses.
Experience
- Proven experience in an executive assistant or similar administrative role is preferred.
- Strong proficiency in calendar management and project coordination is essential.
- Familiarity with Outlook Calendar and other Microsoft Office applications is required.
- Excellent phone etiquette and customer service skills are necessary for effective communication.
- Experience in data entry, clerical work, and proofreading will be advantageous.
