What are the responsibilities and job description for the Administrative Assistant position at Avflight Corporation?
General Purpose of Job:
This position reports directly to the Airline Station Manager. The Administrative Assistant will primarily assist the Station Manager with staffing needs, scheduling current staff, and other administrative tasks assigned.
Duties:
- Review and maintain applicant tracking system (ATS)
- Sources and screens candidates and set up interviews for the manager to conduct
- Responsible for scheduling employee training and maintaining training records
- Initiate and oversee the employee security badging for SIDA
- Conduct on-boarding orientation for new team members
- Obtaining documents required for new employees and sends over to HR for new hire entry and badge numbers
- Creates weekly work hour schedules for manager to review and approve
- Monitors employee timecards and identifies and resolves any errors or exceptions before seeking approval to close payroll to ensure accuracy
- Publish and post memos as requested by management
- Ensures work related injuries are properly documented and sent to HR in a timely manner
- Adheres to company policies and procedures
- Office administrative duties; data entry, creating reports, emails, filing, faxing, etc.
- Assist the Airline Station manager with administrative and operational duties
- Perform other duties as assigned
Qualifications:
- High school diploma or GED (Associates Degree and/or some college preferred)
- Must be 18 years or older
- Must be available for holidays and weekends if needed
- Experience in aviation preferred
- Strong administrative background
- Ability to multi-task in a fast paced environment
- Strong attention to detail and accuracy
- Familiarity with Airline systems, training requirements
- Hotel/hospitality/customer service experience a plus
- Must be comfortable with email, filing, faxing and computer skills including Microsoft products
- Must be able to lift 20lbs and carry up to 10lbs. Frequent sitting, standing, bending, reaching
- Must pass background check, pre-employment drug test and obtain security clearance
- Must have valid Driver’s license

Physical Demands :
Must be able to carry 50 pound suitcase from the floor to 18 inches and carry 50 pound suitcase in front of you with both hands for a distance of up to 25 feet; must have physical dexterity sufficient to perform repetitive tasks and motions, including bending at the waist and knees, squatting, kneeling, crawling, twisting and sustaining those positions for extended amounts of time. Must have sufficient vision and ability to safely perform the essential functions of the position.
Work Environment:
Airport environment: Indoors and Outdoors. Extreme outdoor conditions where extreme temperature ranges may be encountered.
