BASIC FUNCTIONS
AVMAC’s Administrative Assistant is responsible for various clerical and secretarial duties requiring knowledge of office routine and an understanding of the organization, programs, and procedures related to the work of the office. This position may be required to work independently on projects requiring research and preparation of briefing charts and other presentation materials.
The organizational structure the Administrative Assistant supports is complex and is divided into subordinate groups that usually differ from each other as to subject matter, function, etc.
The Administrative Assistant is expected to handle differing situations, problems, and deviations in the work office according to general instructions, priorities, duties, policies and program goals.
KEY DUTIES AND RESPONSIBILITIES
- Working knowledge of computers and office software programs
- Document preparation and handling
- Filing and file retrieval
- Use of copy and/or fax machine
- Processing and handling of unclassified mail
- Processing and handling of classified mail
- Date processing
- Scheduling and tracking
- Monitor inventory levels and notify when levels are low
SKILLS AND EXPERIENCE
- Five (5) years of professional experience (an Associate’s or Bachelor’s degree may be substituted for 2 years of professional experience.
- Communication both oral and written
- Able to work independently and with others
EDUCATION AND TRAINING
- High School/Vocational School Diploma or GED Certificate
- Able to gain access to military installation(s)
- Able to obtain and maintain a SECRET security clearance
