The candidate will be essential in maintaining office efficiency, providing back-up administrative support, and assisting the HR Manager with confidential tasks, including corporate legal matters and company events. ROLE OBJECTIVE
The Office Administrator role includes core responsibilities typically associated with an Executive/Administrative Assistant, with an elevated level of expertise. The ideal candidate must have exceptional written and verbal communication skills, with a keen eye for detail. This role may also involve mentoring office assistants and interns as needed.
KEY RESPONSIBILITIES include the following. Other duties may be assigned.
- Serve as backup administrative assistant for both buildings as needed.
- Overseeing office maintenance, repairs, fire safety, and a safe work environment.
- Manage ordering, stocking, and maintaining office and janitorial supplies and equipment.
- Oversee and coordinate conference room bookings to avoid scheduling conflicts.
- Schedule and coordinate building maintenance and repairs with Maintenance Technician.
- Input and manage data in databases and spreadsheets.
- Oversee day-to-day office operations to ensure smooth functioning.
- Organize and coordinate company events, meetings and conferences.
- Collaborate with HR Manager to oversee correspondence with company corporate law firm.
- Coordinate with the HR Manager and attend meetings with the Taiwan headquarters as needed
- Assist with special projects as requested by direct supervisors.
- Must adhere to Quality Management System and security operating procedures.
QUALIFICATIONS, SKILLS AND PREFERRED ATTRIBUTES:
- Bilingual Mandarin-Chinese is a must, for communication with headquarters in Taiwan.
- Associate Degree and/or 3-5 years related experience and/or training.
- Detail-oriented, professional and have excellent verbal/written communication skills with strong organizational and time management skills.
- Working knowledge in Microsoft Office Suite programs.
- Ability to prioritize tasks and handle multiple responsibilities simultaneously.
- Professional and friendly demeanor, work well with all levels of the organization.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Knowledge of legal processes is preferred, and experience with business travel arrangements is a plus.
