The Administrative Assistant will play a key role in supporting the President in various aspects of Commercial and Industrial construction projects, while collaborating with other team members to ensure smooth project execution, quality control, and on-time completion.
Key Responsibilities
As an Administrative Assistant at Axtell Services, you will be responsible for the following duties:
- Customer & Employee Interaction: Greet clients and staff with professionalism and a friendly demeanor.
- Phone Support: Answer and direct phone calls to appropriate team members efficiently.
- Organization & Detail Orientation: Manage office supplies, ensure proper organization of files, and keep documentation updated.
- File Management: Set up hard and e-files for job-specific documentation, clients, and employees.
- QuickBooks Management: Setup new job files in QuickBooks and assist with billing for small projects.
- Insurance Coordination: Request and distribute Certificates of Insurance (COI).
- Administrative Support: Assist Project Managers with project-related tasks and support timecard entries on a weekly basis.
- Invoice Processing: Enter AP invoices, ensure approvals from Project Managers, and file receipts.
- Logistics Coordination: Track material shipments and communicate with the warehouse to ensure smooth delivery.
Qualifications/Experience
To succeed in this role, you should have the following qualifications:
- Education: Minimum of a High School Diploma.
- Experience: At least two (2) years of experience in a commercial construction administrative role or assistant capacity (co-op and internship experience are welcome).
- Construction Knowledge: Experience reviewing invoices, Certificates of Insurance (COIs), and ensuring compliance with project requirements.
- Skills:
- Strong leadership and communication skills (both oral and written).
- Excellent organizational abilities and attention to detail.
- Ability to handle multiple tasks and prioritize effectively.
- Problem-solving mindset with the ability to tackle challenges and keep projects on track.
- Proficiency in Office 365 (Outlook, Excel, Word) and QuickBooks.
- Self-driven, with a strong work ethic and a "can-do" attitude.
