This position is key to ensuring smooth operations within our office while providing exceptional customer service to clients. The ideal candidate will have a strong ability to multitask, prioritize, and handle a wide range of administrative duties in a busy environment.
Responsibilities:
- Greet and assist clients in a friendly and professional manner.
- Answer and direct phone calls, take messages, and respond to client inquiries.
- Manage appointment scheduling and maintain the office calendar for multiple professionals.
- Handle incoming and outgoing mail and packages.
- Maintain a clean, welcoming, and organized reception area.
- Provide general administrative support, including filing, faxing, scanning, and data entry.
- Assist with client intake processes, including collecting necessary documentation and forms.
- Collaborate with the accounting and tax teams to ensure timely client communications and document management.
- Assist with preparing and organizing client meetings and events.
- Manage office supplies and maintain inventory.
- Ensure smooth day-to-day operations in a high-volume environment.
- Uphold confidentiality and professionalism in all interactions with clients and colleagues.
Qualifications:
- Proven experience as a receptionist, office assistant, or in a similar administrative role, preferably in a professional services or busy office environment.
- Excellent communication and interpersonal skills, with a client-focused approach.
- Strong organizational skills and the ability to prioritize multiple tasks in a fast-paced environment.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and office equipment.
- Ability to work well independently and as part of a team.
- Experience with appointment scheduling software or client management tools is a plus.

- Ability to handle sensitive information with discretion and confidentiality.
