Position Overview:
We are seeking a detail-oriented and organized Accounting and Office Operations Coordinator to join our team. This role is responsible for managing various accounting tasks, supporting office operations, and assisting with HR functions.
Key Responsibilities:
Accounting AP, AR, HR :
- Daily invoicing in the Sage Intaact accounting software from order that were processed in Sales Force
- Accounts Payable processing
- Reconcile AP print-related bills to vendor statements.
- Process AP payments based on weekly reports.
- Manage Concur expense reports.
- Reconcile the credit card bill.
- Set up contract vendors (1099) and process payments from timesheets.
- Assist with HR tasks, including onboarding, managing forms, insurance, offer letters, and processing 401(k) payments.
- Assist with AR credit card processing and new portal setup.
- Update customer and Health System information in accounting software, such as addresses and contacts.
- Handle ad hoc accounting projects.
Office Operations:
- Greet and sign in visitors.
- Sort and distribute mail.
- Coordinate facility management with external vendors
- Manage conference room setups for company meetings.
- Oversee office supplies and essential stock items.
- Ensure organization and upkeep of shared areas, including the breakroom, restrooms, front area, and conference rooms.
Qualifications:
- 2 years of AP/AR experience.
- Strong self-starter with office management or support experience.
- Exceptional attention to detail
- Basic Excel knowledge and strong software skills.
Pay, Benefits and Perks
- Competitive salary ($57,000 - $67,000 per year, depending on experience) and bonus (based on personal & company performance)
