Maintenance Coordinator Expectations
- You’ll be the primary voice and face of the company for incoming calls and emails from our maintenance clients, responding to as many as 30 calls per day.
- Most of your day will be focused on our maintenance division, which provides mowing, weed control, mulching, pruning, clean-ups, lawn fertilization and snow & ice services.
- You’ll be collaborating with the Maintenance Account Manager in all aspects of your role– from routing to HR duties to handling the needs of the crews.
- You’re able to work accurately at a fast pace: you’ll be answering the phone, finding out what the customer needs, selling the job and contacting the Maintenance Account Manager to coordinate from there, all while balancing other tasks and projects.
- You actively listen to clients and are able to sell them additional services based on their specific needs or issues– even when they don’t quite know what they need.
- To start, you’ll be overseeing 5 crews as our Maintenance Coordinator, alongside the Maintenance Account Manager, and you will be responsible for administrative HR duties, including hiring field technicians, onboarding, maintaining employee documentation, handling write-ups, and conducting terminations.
- At the beginning of the season, you’ll be responsible for creating sensible and efficient routes for each of our technicians in the maintenance division and will regularly tweak them as customers roll on and off our roster.
- You’ll be responsible for notifying clients of upcoming services on the schedule, educating them about everything we offer and proactively planning around weather events.
- Another major responsibility is managing the service contract renewal process each year, ensuring customers have an excellent experience and explaining the ins and outs of what they’re getting.
- During the winter months, you’ll also be responsible for monitoring the weather and dispatching crews as needed for snow & ice services.
- You’ll be the main point of contact for our Maintenance Account Managers, giving them all the important details they need to be successful every day.
- You’ll be following up with clients after projects to make sure they’re satisfied with completed services and encouraging clients to provide online reviews.
- You’ll be responsible for sending out invoices and collecting payments on a regular basis.
Maintenance Coordinator Experience

- Service Scheduling, Logistics, or Dispatching experience
- Receptionist, call center, or customer service experience
- Management or supervisory experience
- Sales experience
- HR experience, including employee relations, conflict resolution & terminations
- Administrative support experience
- Experience with Quickbooks or other bookkeeping software
- Experience with Excel or Google Sheets
- Experience using a CRM (LMN a plus!)
- Marketing experience a plus
- Lawn care or landscaping experience a plus
