What are the responsibilities and job description for the Client Coordinator position at Baker Brand?
This is a non-exempt position that reports to the Human Resources Manager. The Client Coordinator will work on behalf of the relationship and/or lead partners and directly with firm attorneys, staff, and clients, to analyze and manage several key client accounts to ensure prompt handling of client matters, to facilitate workflow management, to understand and enforce client-issued guidelines and procedures, and to track and report status. Additionally, the Coordinator will work to ensure issuance of client invoices in a manner that is compliant with client billing guidelines and to ensure timely collection of firm fees. The position will involve creating positive working relations with all members of the firm client teams as well as client representatives. The Coordinator position includes the following responsibilities to achieve the foregoing and will bill for appropriate functions performed in this capacity.
Requirements:

HS Diploma, and a minimum of eight years of related experience.

Law firm experience highly preferred.
Responsibilities and Duties include the following:
- Assist lead partners in management of key clients and in maintaining optimum client service. This will include regular dialogue with lead partners and assisting lead partners and legal team in working toward and managing deadlines. In working toward the goal of excellent client service daily, the Coordinator may be asked to expand responsibilities and scope of position to best serve the key clients.
Client Functions:
- Interface with client representatives.
- Understand client procedures and ensure attorneys and staff are adhering to same.
- Work with Client interfaces on monthly estimates.
- Work with E-Billing software, Client Value/Rates team and Supervising Attorneys to review/edit proformas.
- Work with Client Value and Clients to approve rate renewals annually.
- Other duties as requested and assigned.
Finance Functions:
- Track proformas for client matters to ensure proper issuance, review, edit, and return to billing department for processing.
- Handle the editing of narratives as noted on the bills making sure invoices are in the approved format for clients.
- Become proficient in requirements of client billing guidelines including any electronic billing requirements. Instruct attorneys and staff in billing guidelines when appropriate. Work with billing department to ensure that all timekeepers working on a matter are approved within the client’s billing system.
