Job Title: Administration Assistant
Classification: Part Time, Hourly
Reports to: Director of Operations

This position is in-office at the Santa Barbara, CA.
Mission:
An Administrative Assistant is responsible for supporting the team to help Balance stay organized and complete tasks that allow our team to focus on more advanced responsibilities. The goal is to achieve mastery in organizational skills and ensure efficient office operations.

Skill & Experience:
  • High School Diploma or equivalent.
  • Active Driver’s license and clean record.
  • Basic Customer service experience.
  • 0-2 years of experience in the field or in a related area.
  • MOS or CAP Qualification a plus.

Duties:
Aid management with Administrative and Office Tasks:
  • Proactively assisting your manager and team taking on additional responsibilities to support their success.
  • Staying up to date on the latest technology and using it effectively to support the team is essential. Understanding how to navigate the tools you need to do your job.
  • Cash Handling and Banking.
Create and maintain filing systems both electronic and physical:
  • Responsibility for handling support documentation and correspondence in support of the team.
  • Responsible for following Balance Method for naming and filing documents.
  • Storing documents in the correct folders.
  • Digitizing copies of paper documents.
  • Maintaining and managing the controls and permissions to facilitate secure data access.
  • Maintain a regular schedule to keep record filing up to date.
  • Efficient and accurate filing process to maintain document integrity
Handling Office Communication, Organization and Confidential information:
  • Effectively communicating with team through various communication channels.
  • Organized workspaces and resources digitally or physically to ensure easy accessibility. This includes the Balance Knowledge Base and other team or client resources.
Task & Project Management:
  • Managing tasks, setting goals, creating plans and meeting deadlines.
  • Efficiently managing your time to ensure that you meet all your tasks and deadlines.

Timeline of Tasks Breakdown:

Daily:
  • Review and answer correspondence i.e. email & mail including on behalf of office staff/team.
  • Schedule appointments and maintain calendars.
  • Greet office visitors on in-office Days.
  • Prepare correspondence memos, invoices, reports and other correspondence.
  • Resolve administrative problems.
  • Data entry.
  • Manage filing system.
  • Weekly
  • Submit expense.
  • Client courier services
  • Handle in office banking deposits
  • Handle multiple projects,
  • Cover phones when required.
  • Print out and mail documents on behalf of the team.
  • Maintaining the office i.e. trash, cleaning, etc.

Monthly:
  • Maintaining stock levels for office supplies and ordering as required i.e. stationery, water, branded merchandise.

Annually:
  • Assist the Operations Manager and maintain annual filings for clients including welfare exemptions, 571-L, 1099 Tracking, Sales and Use Tax tracking, SOI, etc.

As Needed:
  • Ensure operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories, evaluating new equipment and techniques.
  • Research and create presentations.
  • Other administrative tasks as needed to ensure the smooth operations of the Balance Team.
