Job Overview
We are seeking a part-time experienced, detail-oriented, and organized Office Assistant to start immediately in our Philippi, WV office. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing administrative support and assisting with various tasks. This position requires strong computer literacy, excellent phone etiquette, and exceptional organizational skills.
Duties
- The successful candidate in this position will take responsibility for bookkeeping, financial tracking, collecting and depositing rents from tenants, working with local contractors toward small repairs and improvements, data management, and office administration under the direction of the Executive Director for our organization. We look for a positive attitude, qualities of accuracy and attention to detail, and the ability to work both independently and with a team. Competence, communication, collaboration, integrity, and commitment to our economic development mission are important. Our staff team operates collaboratively, with considerable independence, self-direction, and accountability for each position. Position may involve occasional travel.
Primary responsibilities:
- Greet visitors at the front desk, providing a welcoming atmosphere while addressing inquiries professionally.
- Handle incoming phone calls with proper etiquette, directing calls to the appropriate personnel or taking messages as necessary.
- Oversee daily administrative operations and ensure efficient office management.
- Excellent bookkeeping skills and knowledge
- Maintain vendor relationships and handle payroll and human resources tasks.
- Organize events and manage schedules to support organizational goals.
- Records retention, security, and filing
- Communicate effectively with board members and stakeholders to enhance collaboration.
- Upkeep of website and Facebook pages, communications applications both traditional and online such as Zoom
- Perform clerical duties such as typing documents, data entry, and maintaining accurate records.
- Upkeep of demographic, housing, and other support information for Barbour County
- Expertise with spreadsheets
- Ability to learn and use new technology applications.
- Understanding computer networks and troubleshooting skills.
- Support team members with various administrative tasks to enhance overall productivity.
And other duties, as assigned.
Additional experience desirable for the position may include:
- Experience working for public entities, prior property management experience, and/or experience with community or business development projects
- Experience with building and using database applications,
- Experience with grant writing and/or fundraising
Education/Experience sought:
(Preferred)
- Minimum of an associate’s degree in Business Administration, Accounting, Bookkeeping, or related field with some related real world work experience.
- Experience
- Previous experience in an office environment is preferred but not required.
- Familiarity with office management practices and procedures is advantageous.
- Proficiency in computer applications and software relevant to office operations is essential.
- Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Excellent communication skills, both verbal and written, are necessary for interacting with staff and clients alike.
