Key Responsibilities
Client Management:
- Serve as the primary point of contact for clients, providing a welcoming and professional experience.
- Oversee client onboarding, including sending welcome letters, collecting necessary information, and setting up clients in our system.
- Maintain and organize client files, ensuring all documents are accurately uploaded and easily accessible.
- Schedule and coordinate meetings with clients and internal teams, ensuring all logistics are efficiently managed.
- Prepare materials and set up conference rooms for meetings, ensuring a seamless and professional environment.
- Maintain an organized calendar to effectively manage appointments and meeting schedules.
- Accurately enter and manage client information and project details in our database.
- Monitor billing processes executed by project accountants, ensuring timely invoicing and payment collection.
- Assist clients with questions regarding billing, providing contact information for project accountants when necessary
- Follow up on proposal opportunities with new and existing clients to assist in securing new contracts
- Assist with onboarding new employees, including handling paperwork, setting up equipment, and ensuring a smooth integration into the team.
- Ensure that all employee and client areas are well-stocked with necessary supplies and refreshments, maintaining a welcoming environment.
- Manage maintenance and upkeep of facility and equipment
- Communicate with IT Administrator regarding IT needs and issues
- Assist department manager with submittals of plats to County Registrar of Deeds
- Manage shipment of client deliverables through FedEx or local Post Office
- Assist department manager with completion of lien waivers for clients when applicable

Salary : $60,000 - $75,000
