Job Description: The Accounts Payable Clerk will play a vital role in ensuring smooth and timely processing of vendor payments while maintaining accurate financial records. This position requires familiarity with home improvement products and services, as well as excellent organizational skills to handle a high volume of invoices and vendor inquiries.
Key Responsibilities:
1. Invoice Processing:
- Review and process vendor invoices for appliances, plumbing fixtures, hardware, and cabinetry orders.
- Ensure proper approvals are obtained for high-value purchase orders.
- Match invoices with purchase orders and delivery receipts to confirm accuracy.
2. Vendor Payments:
- Prepare payments through checks, ACH, or wire transfers in a timely manner.
- Monitor payment terms to take advantage of early payment discounts where applicable.
3. Reconciliation and Reporting:
- Reconcile vendor statements and resolve discrepancies or disputes.
- Provide weekly reports to management on pending payments and invoice status.
- Assist in preparing month-end and year-end closing documentation.
4. Vendor Relations:
- Communicate with vendors regarding invoice discrepancies, payment timelines, and credit memos.
- Maintain up-to-date vendor files, including tax documentation and contact information.
5. Compliance and Documentation:
- Ensure adherence to internal financial policies and applicable regulatory requirements.
- Maintain a clear and organized filing system for invoices, receipts, and correspondence.
6. Process Improvement:
- Assist in identifying inefficiencies in accounts payable workflows and suggest process improvements to streamline operations.
Requirements:
Education and Experience:
- High school diploma or equivalent (required); an associate’s degree in accounting or finance (preferred).
- 1-3 years of experience in accounts payable, preferably in retail, construction, or home improvement industries.
Skills and Competencies:
- Familiarity with accounting software (e.g., QuickBooks, SAP) and inventory management systems.
- Proficiency in Microsoft Excel and ability to handle large data sets efficiently.
- Excellent attention to detail, particularly in matching invoices to purchase orders and receipts.
- Strong organizational and multitasking skills in a fast-paced environment.
- Good communication and interpersonal skills for vendor relations.
Knowledge:
- Understanding of inventory accounting and cost reconciliation specific to retail or wholesale industries.
- Knowledge of tax requirements for vendor payments, including issuing 1099 forms.
- Awareness of supply chain workflows and terms such as FOB, net payment terms, and discounts.
Additional Qualifications:
- Experience with home improvement or construction product categories (a plus).
- Ability to collaborate with procurement and warehouse teams to ensure accurate records.
