Job Title : Receptionist - Administrative Office

Exemption Status / Test : Non-Exempt

Reports to : Chief Financial Officer

Annual Work Calendar Days : 226 Days

Primary Purpose :

Under moderate supervision, respond to inquiries from staff, students, parents, and the public; provide requested information and / or referral to the appropriate parties; direct visitors; and provide general clerical support for the efficient operation of the central administration office.

Provides a range of administrative support and coordination of projects for the CFO. Responsible for maintain high standards of professionalism, efficiency, personal communication, discretion, and independent judgment. In working with internal and external contacts, including Board Trustees. This position deals with a wide range of highly sensitive issues under tight deadlines and pressures.

Qualifications :

Education / Certification :

High school diploma or GED

Special Knowledge / Skills :

Ability to operate multi-line phone system

Effective public relations, organization, communication, and interpersonal skills

Ability to speak, read, and understand English

Ability to read and comprehend instructions

Ability to effectively present information in one-on-one situations

Proficient in keyboarding, 10-key numerical data entry, and file maintenance

Experience :

Job related experience is required

Receptionist Responsibilities :

  • Receive and direct incoming calls, take reliable messages, and route to appropriate staff.
  • Greet visitors (e.g. public, parents, students, substitutes, vendors, etc.) respond to their inquiries and / or direct them to appropriate personnel in accordance with district policies and procedures regarding building security.
  • Maintain visitor log and issue visitor passes.
  • Respond to emergency calls and notify appropriate parties to address immediate safety and / or security issues.
  • Receive a variety of items (e.g. mail, special deliveries, packages, supplies, etc.) for distributing materials to appropriate parties.
  • Maintain reception area materials (e.g. job applications, newsletters, event calendars, etc.) for providing resource information to visitors.
  • Perform general clerical functions (e.g. scheduling, copying, faxing, data entry, filing, processing outgoing mail, maintaining mail machine, etc.) for supporting office operations.

Secretary Responsibilities :

  • Wide variety of administrative support to the CFO and department under CFO's supervision.
  • Manages CFO's calendar to prioritize and resolve conflict. Ensure all commitments and deadlines are met.
  • Prepares responses, correspondence, meeting materials, schedules, and other forms of communications.
  • Performs standard office tasks such as answering telephones, filing, ordering of supplies, faxing and copying, and reserving meeting rooms. Collects and opens all mail addressed to CFO.
  • Makes deposits for transcripts and athletic ticket sales.
  • Receives all athletic game paperwork, processes payment for sports officials and game workers. Will work with payroll and / or accounts payables.
  • Responsible for rentals of BCISD facilities, contracts, and deposits.
  • Responsible for School Board Elections.
  • Undertakes special assignments and / or projects on a wide variety of responsibilities as assigned by the CFO.
  • Knowledge, Skills, Abilities :

  • Provide clerical assistance as needed.
  • Compile, maintain, and file all reports, records, and other documents as required.
  • Maintain confidentiality.
  • Follow district safety protocols and emergency procedures.
  • Performs other related duties as assigned for ensuring the efficient and effective functioning of the work unit.
  • Must have the ability to observe and maintain a high degree of confidentiality and professionalism.
  • Must be proficient, detailed-oriented and accurate to assist in running a smooth office environment.
  • Proficient computer skills. Including but not limited to; Microsoft Word, Microsoft Excel, Google Mail, Microsoft PowerPoint, Google Docs / Calendars.
  • Communicate effectively with all levels of personnel. Communicate professionally with a variety of personalities.
  • Functional knowledge of company operations and procedures to accurately interpret documents and instructions to act properly and promptly.
  • Perform other duties assigned.

The employee is regularly required to use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; and talk or hear. Specific vision abilities required by this job include close vision, color vision, and the ability to adjust focus. Attendance at conferences and professional development is required. Work involves everyday risks and discomforts which require normal safety precautions when operating equipment or performing job duties. May work prolonged or irregular hours and must be able to maintain emotional control under stress.
