Job Title : Receptionist - Administrative Office
Exemption Status / Test : Non-Exempt
Reports to : Chief Financial Officer
Annual Work Calendar Days : 226 Days
Primary Purpose :
Under moderate supervision, respond to inquiries from staff, students, parents, and the public; provide requested information and / or referral to the appropriate parties; direct visitors; and provide general clerical support for the efficient operation of the central administration office.
Provides a range of administrative support and coordination of projects for the CFO. Responsible for maintain high standards of professionalism, efficiency, personal communication, discretion, and independent judgment. In working with internal and external contacts, including Board Trustees. This position deals with a wide range of highly sensitive issues under tight deadlines and pressures.
Qualifications :
Education / Certification :
High school diploma or GED
Special Knowledge / Skills :
Ability to operate multi-line phone system
Effective public relations, organization, communication, and interpersonal skills
Ability to speak, read, and understand English
Ability to read and comprehend instructions
Ability to effectively present information in one-on-one situations
Proficient in keyboarding, 10-key numerical data entry, and file maintenance
Experience :

Receptionist Responsibilities :
- Receive and direct incoming calls, take reliable messages, and route to appropriate staff.
- Greet visitors (e.g. public, parents, students, substitutes, vendors, etc.) respond to their inquiries and / or direct them to appropriate personnel in accordance with district policies and procedures regarding building security.
- Maintain visitor log and issue visitor passes.
- Respond to emergency calls and notify appropriate parties to address immediate safety and / or security issues.
- Receive a variety of items (e.g. mail, special deliveries, packages, supplies, etc.) for distributing materials to appropriate parties.
- Maintain reception area materials (e.g. job applications, newsletters, event calendars, etc.) for providing resource information to visitors.
- Perform general clerical functions (e.g. scheduling, copying, faxing, data entry, filing, processing outgoing mail, maintaining mail machine, etc.) for supporting office operations.
