We are seeking a highly skilled and proactive Executive Assistant to support a visionary and fast-moving CEO leading multiple growing businesses. This is a unique opportunity to work closely with a leader who is passionate about helping entrepreneurs obtain business ownership, build strong industry relationships, and achieve long-term success.
This position is currently part-time, offering between 20-35 hours per week, with the opportunity to transition into a full-time role based on performance and business needs. We are looking for a dedicated and proactive individual who can grow with the company and take on more responsibilities over time.
The ideal candidate will be exceptionally organized, tech-savvy, and a strong communicator who can take ownership of managing the CEO’s emails, scheduling, calls, and communication flow to ensure his time is maximized and leadership remains informed. This is a fast-paced, hands-on role that requires someone who thrives in high-energy environments and can create structure in a rapidly growing business.
We are transitioning into Microsoft-based systems, so proficiency with Microsoft Outlook, Teams, SharePoint, and OneDrive is essential. Additionally, a general understanding of construction terminology is helpful, as the CEO is involved in new store build-outs.
Responsibilities:
Manage and organize the CEO’s emails, calls, and calendar to ensure seamless scheduling and efficient communication. With the possibility of managing additional company emails.
Serve as the primary point of contact between the CEO and team, ensuring clear and timely information flow.
Track action items, follow up on outstanding tasks, and ensure priorities stay on schedule.
Assist with other leadership in implementing structured processes and systems to improve workflow and coordination.
Utilize Microsoft tools to facilitate document management, scheduling, and collaboration.
Maintain confidentiality while handling sensitive company information.
Be present on-site in Staten Island and occassionally Brooklyn as needed to support daily operations.
Act as a liaison between the CEO and construction/build-out teams—a general understanding of construction terminology is beneficial.
Ensure staff at both companies receive timely input from the CEO to keep projects moving forward efficiently.
Qualifications:
- Minimum 3 years of experience as an Executive Assistant or in a similar high-level support role.
- Highly organized, proactive, and detail-oriented.
- Excellent communication skills, both written and verbal.
- Strong ability to prioritize, follow up, and anticipate needs.
- Proficiency in Microsoft Outlook, Teams, SharePoint, and OneDrive.
- Comfortable working in a fast-paced, high-demand environment.
- Must be based in NY and available for on-site work in Staten Island and Brooklyn.
- Must have reliable transportation.
- General knowledge of construction terminology is a plus.

Pay: $52,000.00 - $75,000.00 per year
