Our client, a Global Investment Bank, is looking to hire a Temp To Perm Executive Assistant to provide support to a CEO of a newly acquired asset. This role will cover the CEO, 1 Director and 1 junior Associate. This role is in office 5x a week and does have EA/PA responsibilities. This person should have high-energy, be self-directed, organized, resourceful and an engaging person accustomed to working in a high visibility position and being flexible. This job is complex and requires the highest level of direction and independent judgement. In office 5x a week.
RESPONSIBILITIES:
- Extensive Calendar Management/ Outlook - schedule internal/external meetings and appointments; coordinate conference rooms /calls.
- Reads, screens, refers and responds to incoming e-mail, ensuring that referrals are made, responses are gathered and relevant information is reported to/for the executive.
- Answer phones professionally, field phone calls, address issues or redirect as appropriate, and distribute messages in a timely and appropriate manner
- Organize, gather and enter details for events/meetings
- Expense Management –compile and submit expense reports in a timely manner.
- Communicating and interacting internally with all levels of the group and across business functions, finance, personnel, and technology, as well as externally with clients and their teams.
- Assist with overflow, special projects, assistant back-up coverage and day-to-day tasks.
- Personal tasks as needed
REQUIREMENTS:
- 5 years investment banking or financial services support experience, executive-level support preferred
- Strong ability to remain flexible, resourceful, and professional in a fast-paced atmosphere
- Polished and professional in person, phone and email communications
- Highly organized, detail-orientated, and able to multi-task efficiently
- Able to handle regular activities without prompting or oversight
- Excellent verbal and written communication skills
- Knowledge of MS Word, Excel, and Outlook a must
- Demonstrates a high level of initiative and a proactive approach
- Flexible to work overtime as needed
- In person full time
$80-100K base (DOE) paid OT discretionary bonus (once converted)
HOURS:
8:30am-5:30pm flexibility for minimal OT as needed
