Job Summary:
We are seeking a highly organized and compassionate Administrative Medical Assistant to join our medical team. This role is essential in ensuring smooth day-to-day operations of the office, maintaining patient satisfaction, and supporting clinical staff. The ideal candidate will be responsible for managing patient care processes, assisting with medical orders, and triaging patient calls while delivering exceptional customer service. You will act as the liaison between the healthcare team and patients, helping to ensure clear communication regarding the patient’s plan of care.
Key Responsibilities:
- Medical Orders & Documentation:
Accurately take off medical orders as instructed by healthcare providers, ensuring proper documentation and timely follow-up.
- Patient Triage Calls:
Answer and manage incoming patient calls, assessing urgency, providing basic guidance, and directing calls to appropriate healthcare staff as needed.
- Patient Dashboard Management:
Monitor and manage the patient dashboard, ensuring all patient data is up-to-date, and following up on patient inquiries, appointments, and test results.
- Patient Communication & Liaison:
Act as the primary point of contact for patients, ensuring clear communication between patients and providers. Assist patients in understanding their plan of care, follow-up instructions, and necessary procedures.
- Chart Review & Patient Education:
Review patient charts and assist in explaining diagnoses, treatment plans, and next steps to patients in a clear and empathetic manner.
- Appointment Scheduling & Coordination:
Coordinate patient appointments, follow-ups, and necessary procedures with other departments and external healthcare facilities.
- Office Administration:
Assist in day-to-day administrative tasks including filing, managing emails, updating patient records, and handling insurance paperwork.
- HIPAA Compliance & Confidentiality:
Maintain patient confidentiality and adhere to all HIPAA regulations and clinic policies.
Qualifications:
- Education:
High School Diploma or GED required; Medical Assistant Certification preferred.
- Experience:
2 years of experience in a medical office or healthcare setting, with a focus on patient interaction, triage, and administrative tasks.
- Skills:
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Ability to handle sensitive patient information with confidentiality.
- Proficient in medical terminology and understanding of electronic health records (EHR).
- Familiarity with healthcare software systems and patient management dashboards.
- Additional Requirements:
- Ability to work in a fast-paced environment.
- Empathy and patience in dealing with patient needs.
- Certified Medical Assistant (CMA) or equivalent preferred but not required.
