Overview
We are seeking a detail-oriented and proactive Administrative Assistant to support our team in various administrative functions. The ideal candidate will possess strong organizational skills and the ability to manage multiple tasks efficiently. This role is critical in ensuring smooth operations and providing support in financial reporting and accounting processes.
Duties
- General administrative and clerical support
- Answer telephone and direct calls
- Receive and sort mail/deliveries
- Bank deposits
- Provide clerical support to the property management and brokerage team
- Provide bookkeeping support to the property management and brokerage team
- Accounts receivable and accounts payable processing
- Maintain vendor and property records with precision and accuracy, scan documents to the network and file accordingly
- Collaborate with team members to streamline administrative processes and improve efficiency.
- Maintain organized filing systems for both physical and electronic documents.
- Help staff with other projects and other duties as assigned.
Experience
- High school diploma required
- One year of administrative and/or bookkeeping; or any equivalent combination of experience and training
- Familiar with commercial real estate and property management a plus
Qualifications
- Excellent attention to detail and organizational skills
- Excellent written and verbal communication skills
- Word and Excel skills
- QuickBooks skills
- Good time management skills and the ability to work with minimum supervision
- Ability to establish and maintain effective working relationships with co-workers
- Professional telephone etiquette
- Strong analytical skills with the ability to perform account analysis effectively.
- Previous experience in an administrative role or similar position is an advantage.
