JOB DESCRIPTION
JOB TITLE: ADMINISTRATIVE SUPPORT SPECIALIST/CIVIL CLERK
ESSENTIAL JOB DUTIES
This position performs a variety of administrative duties to include, but not limited to: answering incoming telephone calls from the public and collecting accurate information to assist the caller. Filing documents. Greets and assists the general public in person answering questions, obtaining incident reports, etc. Performs electronic fingerprints on individuals for the purpose of employment, obtaining concealed handgun carry permits and identification of registered sex offenders. Educates the public on the application process for obtaining concealed weapon carry permits and provides the proper forms along with detailed instructions. Collects cash from the public for various services and provides receipts for the payment. Assists with the opening and closing of the administrative office on a weekly rotation basis. Shares the workload involved in entering, tracking and processing both criminal and civil papers as needed. Operates a variety of office equipment such as computer, (Microsoft Word, Excel, Computer Assisted Dispatch, etc.) copy machine, fax machine, and fingerprint machine. Interacts with and communicates with various groups and individuals such as the Sheriff, Chief, Captains, Lieutenants, Sergeants, administrative coworkers, families of employees and the general public. Performs other related duties as directed by the Director of Administrative Services.
MINIMUM TRAINING, EDUCATION AND EXPERIENCE
Requires a high school diploma or equivalent, supplemented by at least two years of experience in the administrative field of work; or any equivalent combination of training and experience which provides the required skills, knowledge and ability to perform the above-described job duties. Bilingual is a plus. Starting salary range : $35,875 - $44,416 annually. Starting salary will be increased by $2,000 annually if chosen applicant holds an Associate’s Degree, and $4,000 annually if chosen applicant holds a Bachelor’s Degree.
MINIMUM QUALIFICATIONS REQUIRED TO PERFORM ESSENTIAL JOB FUNCTIONS
Physical Requirements: Must be physically able to operate a variety of automated office equipment including computer, printer, copier and multi-line telephone system. Must be able to lift and carry up to twenty pounds of weight and exert up to ten pounds of force on occasion. Sedentary work involves sitting most of the time, but also involves walking or standing frequently for periods of time.
Data Conception: Requires the ability to compare and/or judge the readily observable functional or compositional characteristics of data, people and things.
Interpersonal Communications: Requires the ability to speak clearly to people by telephone and in person to convey or exchange information, including giving and receiving instructions and interacting with coworkers.
Intelligence: Requires the ability to apply principles of common sense understanding to carry out instructions furnished in written and oral form. Requires the ability to make routine independent judgments in the absence of supervision. Must possess knowledge of proper English usage, vocabulary punctuation and spelling.
Interpersonal Temperament: Requires the ability to deal with people beyond giving and receiving instructions. Must be adaptable to performing under stress and when confronted with persons acting under stress. Must be able to multi-task on a daily basis. Must seek knowledge of how to perform duties in a courteous manner and with the utmost integrity in the best interest of the public and the Beaufort County Sheriff’s Office.
