Responsibilities:
- Calendar Management: Schedule and manage appointments, meetings, teleconferences, and travel arrangements for the business leader. Prioritize appointments, ensuring efficient time management.
- Communication Management: Serve as a gatekeeper, establishing direct and indirect communication lines with various internal and external stakeholders.
- Document Handling: Organize, manage, and update paperwork and electronic files. This may include financial reports, proposals, and other administrative records.
- Data Entry: Maintain databases, ensuring that records are complete and current.
- Travel Planning: Coordinate and plan all aspects of domestic and international travel, including booking flights, arranging lodging and transportation, and managing itinerary.
- Errand Running: Handle personal errands as requested by the business leader. These may include shopping, booking personal appointments, or picking up meals.
- Meeting Preparation: Prepare materials for meetings, take minutes, and ensure follow-up on action items.
- Project Management: Assist with special projects, providing research, execution, and follow-up.
Qualifications:
- Proven experience as a Personal Administrative Assistant or similar role.
- Excellent organizational and time management skills.
- Understanding of office management systems and procedures.
- Outstanding verbal and written communication skills.
- Discretion and confidentiality.
- Proficiency in MS Office (MS Excel and MS PowerPoint in particular).
- Ability to multitask and prioritize daily workload.
- High level of verbal and written communications skills.
- High school diploma; additional qualifications as a personal assistant or secretary will be a plus.
