Responsibilities:
- Patient Scheduling:
Efficiently manage and coordinate patient appointments to ensure optimal scheduling for both patients and providers.
- Patient Communication:
Act as the first point of contact for patients by answering phone calls, addressing inquiries, and providing general information about the practice, while relaying messages and patient concerns to the appropriate clinician and ensuring timely follow-up to meet patient needs..
- Medication Prior Authorizations:
Manage all aspects of medication prior authorizations, including communication with insurance companies, patients, and pharmacies to ensure timely approvals and processing, while tracking and following up on requests and maintaining accurate records of all communications and approvals.
- Administrative Support:
Perform general administrative tasks, including updating and maintaining patient records in compliance with HIPAA regulations, processing patient payments, managing billing inquiries, and assisting with insurance verification.
- Patient Follow-up:
Conduct follow-up calls as directed by clinicians to ensure patients are well-informed and supported throughout their care journey.
- Office Coordination:
Coordinate clinician schedules, and daily activities while providing comprehensive support to ensure smooth and efficient office operations.
Skills and Qualifications:
- Experience:
At least 2 years of experience in a medical or behavioral health office setting.
- Communication Skills:
Excellent verbal and written communication skills with a patient-centered approach, along with the ability to handle sensitive patient information with professionalism and discretion.
- Organizational Skills:
Strong organizational skills with the ability to multitask, prioritize tasks, and manage time effectively, paired with a detail-oriented approach and a commitment to accuracy in scheduling, record-keeping, and communication.
- Technical Proficiency:
Proficient in electronic medical records (EMR) systems, scheduling software, and general office equipment, with demonstrated comfort using Microsoft Office Suite (Word, Excel, Outlook) and other relevant software.
- Interpersonal Skills:
Ability to work both independently and collaboratively in a fast-paced environment, demonstrating compassion, empathy, and a strong commitment to patient care and confidentiality.
- Problem-Solving Skills:
Ability to anticipate patient and office needs and proactively address issues as they arise, with strong skills in handling insurance-related matters, including prior authorizations and billing inquiries.
