Bellinghome School of Music is a musical hub serving students, talented teachers, musical

families, professional bands and more in Bellingham, WA. We are seeking to hire two Part-Time

Administrative Assistants to join our expanding business. As we grow, we will offer opportunities

for promotions or reassignments based on the need and opportunity for new positions. Applicants

The position will primarily be performed on-site, and will include working remotely and at various local

venues for events when needed. Hours will be an expected 22.5 hours per week. Additional hours

may be available as active responsibilities, events, and projects dictate.

This position will manage the reception area and provide high-level administrative and customer

support to all in contact with Bellighome. You will be coordinating with students and parents,

teachers, other admins, and our owner to complete a variety of tasks. You will help with maintaining

policy standards, following and improving procedures, and looking out for opportunities to improve

the company from within. If you are musically minded, enjoy being around kids, like working with

A suitable candidate will be personable, professional and collaborative in communication, and

diligently willing to learn all aspects of our business. The ideal candidate will possess excellent

customer service skills, be highly organized, and show self-motivation. Qualified applicants will have

a demonstrated ability to respond effectively to changing workloads & priorities, as well as

multitasking during a variety of situations, while remaining positive and energetic. The applicant must

be able to maintain customer / quality focus, accountability, adaptability, communication, and

collaboration as a member of a team while being able to work independently.

Compensation & Hours

Candidates will be hired in accordance with their qualifications and offers will vary on experience.

  • Wages :

23 – $25 per hour (depending on experience)

  • Hours :
  • 22.5 hours weekly

    Standard hours of employment : (2 shifts available)

    Monday – Friday : 11 : 30am – 4 : 00pm / 2 : 30pm – 7 : 00pm

    Saturdays as needed for recitals and occasional events

  • Supplemental Pay :

    Quarterly Leads Bonuses

    Opportunities for extra hours helping with events and projects (maximum of 30 hours per week)

    Administrative Duties

    The following are the operational day-to-day tasks involved in running of our organization smoothly :

  • Desk-Management : Greet and assist clients in a prompt, professional, and friendly manner
  • Desk Communications : Answer phone calls and emails of various inquiries.
  • Scheduling : Manage the lesson, rehearsal, and recording studio schedules for multiple rooms
  • Payment Processing : Accept and post payments from clients
  • Billing : Invoice students / parents for all balances owed.
  • Policy Administration : Know and enforce all school policies related to cancellations, make-up
  • lessons, and late payments.

  • Facility Management : Maintain a professional space by keeping the front desk, lobby, kitchen,
  • practice, and rehearsal spaces clean and tidy at all times.

  • Student / Parent / Teacher Communications : Assist with all interpersonal communications for clients.
  • Internal Resource Management : Know each teacher’s instrument(s), skills, and strengths to match
  • potential and incoming students with their best-fit music instructor.

  • Online Resource Management : Efficiently utilize functions and features of Gmail, Google Calendar,
  • Google Drive, Word Documents, and Excel Spreadsheets

    Skill Requirements & Other Responsibilities

    The following skill requirements and job responsibilities are necessary for effective performance in this role :

  • Exhibit exceptional customer service, reception, and interpersonal skills
  • Possess outstanding written and verbal communication skills
  • Have proficiency in MS Word, Excel, and online scheduling software
  • Possess the capacity & self-motivation to research, identify, and find timely solutions to
  • client-related problems while actively and regularly relaying these details to team & supervisors

  • Be a highly motivated team player willing to take on challenges daily while consistently learning
  • and retaining new information and skills

  • Be willing to attend and assist with recital productions, as scheduled
  • Be professional in dress & demeanor
  • Pass a criminal record check
  • Candidates with the following skills will be highly preferred :

  • A background in music with an in-depth knowledge of musical artists, styles, and instruments
  • This is a preference, not a core duty, & will help the candidate fit into the culture of our business.

  • High school diploma / GED
  • Social media marketing (1 year experience)
  • Office administration (1 year experience)
  • Understand basic billing guidelines in line with the QuickBooks Online experience for invoicing
  • Salary : $23 - $25
