We are looking for a reliable Office Administrator. They will undertake administrative tasks, ensuring the rest of the staff has adequate support to work efficiently. The tasks of the office administrator will include bookkeeping and the ideal candidate will be competent in prioritizing and working with little supervision. They will be self-motivated and trustworthy. The office administrator ensures smooth running of our company office and contributes in driving sustainable growth.
Responsibilities
- Responsible for payables and receivables.
- Regular bookkeeping and working/corresponding with the accountants to keep everything up to date throughout the year.
- Various errands including bank, post office, equipment/parts/supplies pick up, etc.
- Manage phone calls and daily correspondence (e-mail, letters, packages etc.)
- Assist with social media updates.
- Administration of employee's health/dental insurance and 401(k)
- Set up and maintain equipment & customer files
- Manage rental properties, tenants, leases, rents, etc.
- Responsible for weekly payroll
- Manage, create files and keep organized: vehicle, trailer, equipment and property registrations and insurances.
- Organize and clean office
- Complete tax exempt certificates, credit applications, annual reporting forms, pre-qualification applications, and quarterly/yearly wage reports
- Create and update records and databases with personnel, financial and other data
- Track stocks of office supplies and place orders when necessary
- Submit timely reports
- Assist colleagues whenever necessary
Skills
- Valid Drivers License and reliable transportation required
- Proven experience as an office administrator, office assistant or relevant role
- Outstanding communication and interpersonal abilities
- Excellent organizational and leadership skills
- Punctuality and professionalism
- Self starter that's able to work with limited supervision.
- Familiarity with office management procedures and basic accounting principles
- Excellent knowledge of MS Office, Quickbooks and office management software (ERP etc.)
- High school diploma
- Familiarity with google docs/sheets
- Comfortable with communicating with customers/vendors
Job Type: Full-time
Pay: $20.00 - $35.00 per hour
