The Kennebec Valley Chamber is looking for an Office Administrator to join our team. This is an onsite job Monday - Friday with 25-32 hours a week.


General Office Assistance

  • Greet and assist visitors, ensuring a welcoming atmosphere.
  • Maintain a well-organized office environment to support daily operations.
  • Assist staff with administrative tasks as needed.
  • Check and distribute incoming mail daily.
  • Answer and direct incoming phone calls professionally.



Community Engagement & Support

  • Respond to inquiries from community members, businesses, and visitors.
  • Provide information about chamber services, local events, and business resources.
  • Direct community members to appropriate staff or resources as needed.

Administrative Support for Staff

  • Provide clerical support, including printing, copying, and scanning documents.
  • Assist with scheduling and coordinating meetings.
  • Schedule meetings for staff and ensure calendar accuracy.
  • Reserve meeting spaces and prepare necessary materials.



Event & Inventory Management

  • Audit inventory post-events, ensuring supplies are replenished.
  • Assist in organizing and preparing materials for events and meetings.



Relocation Packets & Membership Certificates

  • Assemble and distribute relocation packets as requested.
  • Process and mail membership certificates to new and renewing members.

Ensure the lobby remains stocked and maintain an inventory of brochures.


Space Management

  • Manage and update the co-working and conference room reservation calendars.
  • Ensure the spaces are clean, stocked, and ready for use.



Responsibilities

  • Manage the reception area to ensure effective communication both internally and externally
  • Provide office guests with a hospitable experience
  • Interact with IT, phone and building personnel as needed



Qualifications

The following experience and skills are considered essential:

  • At least five years of progressively responsible office experience required; experience in a Chamber office or a similar community-based organization preferred.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office applications and data management.
  • Ability to multi-task, organize, and prioritize work

Salary : $22 - $25
