The Kennebec Valley Chamber is looking for an Office Administrator to join our team. This is an onsite job Monday - Friday with 25-32 hours a week.
General Office Assistance
- Greet and assist visitors, ensuring a welcoming atmosphere.
- Maintain a well-organized office environment to support daily operations.
- Assist staff with administrative tasks as needed.
- Check and distribute incoming mail daily.
- Answer and direct incoming phone calls professionally.
Community Engagement & Support
- Respond to inquiries from community members, businesses, and visitors.
- Provide information about chamber services, local events, and business resources.
- Direct community members to appropriate staff or resources as needed.
Administrative Support for Staff
- Provide clerical support, including printing, copying, and scanning documents.
- Assist with scheduling and coordinating meetings.
- Schedule meetings for staff and ensure calendar accuracy.
- Reserve meeting spaces and prepare necessary materials.
Event & Inventory Management
- Audit inventory post-events, ensuring supplies are replenished.
- Assist in organizing and preparing materials for events and meetings.
Relocation Packets & Membership Certificates
- Assemble and distribute relocation packets as requested.
- Process and mail membership certificates to new and renewing members.
Ensure the lobby remains stocked and maintain an inventory of brochures.
Space Management
- Manage and update the co-working and conference room reservation calendars.
- Ensure the spaces are clean, stocked, and ready for use.
Responsibilities
- Manage the reception area to ensure effective communication both internally and externally
- Provide office guests with a hospitable experience
- Interact with IT, phone and building personnel as needed
Qualifications
The following experience and skills are considered essential:
- At least five years of progressively responsible office experience required; experience in a Chamber office or a similar community-based organization preferred.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office applications and data management.
- Ability to multi-task, organize, and prioritize work
Salary : $22 - $25
