As we continue to innovate and improve, we’re looking for a passionate and detail-oriented Production Assistant to join our team and help us deliver an unforgettable festival experience. This year, we're excited to roll out new initiatives, and we want you to help us make them a reality!
Job Overview:As an Production Assistant for the Rochester Lilac Festival, you will play an integral role in the coordination and execution of our festival events, with a specific focus on relationships with food and beverage vendors, grounds footprint and design, and new initiatives(TBD in January). This is an exciting opportunity to be involved in a beloved local tradition while shaping its future growth.
Key Responsibilities:
- Idea Development & Implementation: Organizing 3 new ancillary events within the festival
- Vendor Coordination: Oversee food vendor relationships, ensuring they have received and are following the 2025 RLF Handbook Guidelines. Work with vendors to track sales and optimize their presence at the festival.
- Material Sourcing: Help source materials and supplies necessary for the festival, such as signage, décor, and supplies for food vendors, installations, and other activities.
- Entrance Design & Logistics: Help design and implement a new layout for the festival’s front entrance to create an inviting atmosphere for festival-goers.
- Event Day Coordination: Support event execution by ensuring smooth operations, managing vendor setups, troubleshooting, and maintaining a positive experience for both vendors and attendees.
Required Skills & Qualifications:
- Strong organizational and multitasking skills with the ability to meet deadlines and manage multiple event components simultaneously.
- Creative thinker with a passion for new ideas and initiatives in event planning.
- Excellent verbal and written communication skills.
- Ability to work effectively with food vendors and manage day-of logistics.
- Strong team player, able to collaborate and contribute to a positive, supportive team environment.
- Interest in the events industry, with a willingness to learn and grow.
- Detail-oriented with a focus on accuracy and quality.
- Previous experience in event coordination, food service, or a related field is a plus but not required.
Preferred Skills:
- Experience working with food vendors or managing vendor relationships at festivals or similar events.
- Familiarity with event management software or project management tools. Google Workplace, Basecamp.
- Enthusiasm for creative event planning and community engagement.
