About the Organization:
Beyond Photonics is currently a privately-owned company of eight full time engineers and scientists. Our objective is to grow at a manageable average annual rate of 25-50%. Given our current size we seek employees that have diverse capabilities and can contribute to the company success on several fronts.
Job Overview:
As the Office Manager and Bookkeeper you will work closely with the Beyond Photonics President and other company employees to improve and maintain a well-organized work environment that is well positioned for continued growth.
· Assist president in maintaining accurate records of contracts and contract deliverables and implement systems that will ensure appropriate team members know deliverable due dates.
· Manage timely payments for office and storage space, utilities, vendors, etc.
· Manage procurement and shipping and receiving. Maintain well organized process and record keeping. Work with engineers to ensure competitive pricing for parts and services we procure. Manage incoming shipment initial receiving and inspection and pass on to appropriate engineers.
· Work with president in improving definition and documentation of company policies and procedures.
· Work with president to maintain company benefits such as health insurance, 401k plans, and paid time off.
· Manage human resource related work, including hiring, onboarding, maintenance of employee records, annual review process, and compliance training as needed.
· Work with president and to ensure maintenance of accurate financial information.
· Must be proficient in use of QuickBooks.
· Interface with ADP or other payroll service organization.
· Use Microsoft Office, Word, Excel, and PowerPoint, and QuickBooks as needed to communicate effectively with others and support engineers, contractors, and company management as needed.
· Other duties as assigned by president.
Qualifications:
4 yrs experience in office management and bookkeeping and/or related administrative positions. Proven track record of enhancing the effectiveness of the workplace.
Other Requirements:
US citizenship is required.
