What are the responsibilities and job description for the Receptionist/Administrative Assistant position at Bicoastal Media?
This position is a dynamic and evolving, critical role, within our operation. It will require lots of multi-tasking, attention to detail & ability to come up with creative solutions. It is a necessity to work well in high pressure situations with poise & grace. Must also be a good communicator and open to suggestions, follow instructions in a timely manner, and have a knack for anticipating business needs. This is a fast-paced, diverse environment and requires enthusiasm, organization, and professionalism.
DUTIESAND RESPONSIBILITIES
- Greet & direct visitors entering the building, while maintaining protocols & procedures.
- Answer the main telephone line, route calls, and take messages.
- Maintain lobby, conference rooms, storage closets, common areas- keeping them clean and organized.
- Shipping and receiving coordination within the office using Fed Ex, local mail and postage equipment.
- Maintain office efficiency and ensures supplies are stocked.
- Assist GM with payroll reminders and information gathering.
- File and organize general information, assist with any other file maintenance as needed.
- Assist in annual audit preparation and information gathering.
- Manage monthly invoice processing.
- Various clerical tasks and / or special projects as needed.
- Organize & execute all station events.
- Manage station representation and company protocols at local events.
- Assist Traffic when needed
- Handling of Daily Deposits.
REQUIRED KNOWLEDGE SKILLS AND ABILITIES
- Personal Transportation to and from work location.
- Minimum two years professional office work experience.
- Must be proficient in Microsoft Office Suite (Word, Excel, PowerPoint, etc.).
- Excellent computer & keyboarding skills.
- Knowledge of standard accounting principles.
- Highly accountable for results with excellent follow thru on tasks assigned.
- Ability to work independently & effectively with changes in priorities.
- Willingness to support a diverse & challenging work environment.
- High degree of discretion dealing with confidential information.
- Close attention to detail and accuracy.
- Punctual with a positive attitude & ability to work well in a team environment.
- Able to meet schedules and time-lines and to deal with stress caused by workload and deadlines.
- Having a Notary License is preferred but not mandatory (Be willing to get trained)
- Having Previous Radio Experience preferred but not mandatory.
EDUCATION REQUIREMENTS
· High school diploma.
PHYSICAL REQUIREMENTS
- Ability to work seated for extended periods of time.
- Ability to drive station vehicles to various sites for events.
- Occasional lifting of objects up to 25 lbs.
- Ability to bend and stoop;
- Ability to climb and descend stairs;
- Ability to interact with many types of personalities. This factor may contribute to a stressful environment.
- While performing the duties of this position, the employee is frequently required to stand; walk; sit; and talk or hear. The employee is frequently required to use hands to finger, handle or feel and reach with hands and arms.
PHYSICAL REQUIREMENTS

WORK ENVIRONMENT
This job operates as an internal office position, which includes working in a professional office environment. This position requires the employee to work in a typical office setting, using a copier/fax/scanner, computer, telephone, phone as well as occasional driving. On occasions, this position is required to participation in after-hours events.
POSITION TYPE/EXPECTED HOURS OF WORK
This is a part-time position. Typically, hours of work are Monday through Friday, 10 am to 2 pm.
