The role of the administrative assistant is critical in delivering an exceptional patient journey while meeting the business needs of the Practice. The administrative assistant will be the main point of contact for all patients. They will also be a liaison between the surgeon, referring office, other healthcare providers, and the patient. They will support the Practice by ensuring scheduling, documentation, insurance, and payment protocols are followed. Well-developed communication skills are essential to ensure effective coordination of care and deliver outcomes that exceed expectations.
Qualifications:
- High School Diploma or equivalent
- Computer/Phone/Email/Word-processing proficient
- Understanding of dental terminology/codes
Experience/Certification desired:
- Oral Surgery
- Use of electronic medical records and paperless systems
- Dental Insurance claims experience

Compensation: Competitive hourly rate, commensurate with experience and training.
Responsibilities
- Greet and welcome patients and visitors
- Answer, screen, and appropriately address incoming phone calls, emails, and patient messages
- Facilitate the referral process, follow up on missing documents or information
- Ensure all required forms and documentation are present, current, and complete
- Schedule patient appointments according to office policy, manage changes efficiently
- Enter data, upload/transfer files, and document interactions/conversations
- Complete insurance verifications and accurately interpret insurance benefits
- Collect and post payments to patient accounts, provide receipts and copies
- Understand policies, surgical procedures, and post operative instructions and be able to relay that information in a clear, understandable fashion
- Ensure reception area is tidy, clean, stocked, and presentable
- Maintain friendly business relationships with our dental referrals and staff
- Perform other clerical receptionist duties such as filing, photocopying, and faxing
- Engage in seasonal projects as needed including referral deliveries, promotional activities (holiday cards, seasonal decorating) and all other duties as assigned
- Work as a team with other members of front office and clinical staff
- Other related duties as assigned.
Job Type: Full-time
Pay: $16.00 - $23.00 per hour
Expected hours: 25 – 45 per week
