Come join our team as a real estate Title Department Administrative Assistant and help us better service our clients! A Title Department Administrative Assistant is an entry level position that will help the title department with all facets of searching, maintaining, and correcting title files.
Duties/Responsibilities:
- Order Title on incoming files that are opening.
- Look into when the file is closing, review property cards/ addresses within the file.
- Determine what type of search is needed, if we have done/completed the search previously.
- Place with internal or external abstractor based on current workload at that time.
- Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.
- Manage in-house abstractors schedules.
- Manage and organize internal abstractors sheet. Make sure all deadlines are being met as far as ESD’s and due date for title searches to be back. Keep the excel sheet well organized up to date.
- Resolve all title related problems, discrepancies, or disputes in a timely and effective manner.
- Other related duties that may be required or assigned by Underwriting Counsel
Required Skills/Abilities:
- Excellent verbal and written communication skills.
- Excellent interpersonal and customer service skills.
- Proficient in Microsoft Office Suite or related software.
- Excellent organizational skills and attention to detail.
- Basic understanding of clerical procedures and systems such as recordkeeping and filing.
- Ability to work independently.
Education and Experience:
- Associate's degree preferred
- Three years of experience in an administrative role.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
