Job Overview
We are seeking a highly organized and proactive Office Manager to oversee the daily operations of our office. The ideal candidate will have strong leadership skills and a comprehensive understanding of office management practices. This role requires excellent communication abilities, attention to detail, and the capacity to manage various administrative tasks efficiently.

Responsibilities

  • Manage front desk operations, ensuring a welcoming environment for visitors and clients.
  • Coordinate human resources functions such as employee onboarding and maintaining personnel records.
  • Implement and maintain office policies and procedures to enhance operational efficiency.
  • Supervise administrative staff, providing guidance and support to ensure team effectiveness.
  • Handle phone etiquette with professionalism, addressing inquiries and directing calls appropriately.
  • Organize meetings, prepare agendas, and take minutes as necessary.
  • Maintain an organized filing system for both physical and digital documents.
  • Assist in managing office supplies inventory, placing orders as needed.
  • Manage client intake, billing, and insurance coordination
  • Ensure smooth communication between therapists, families, and staff
  • Maintain accurate records and compliance with HIPAA regulations
  • Support a positive, welcoming environment for clients and team members

Requirements

  • Proven experience in office management or a similar administrative role.
  • Experience in medical or therapy office management preferred
  • Strong knowledge of budgeting processes and payroll systems.
  • Excellent phone etiquette and communication skills, both verbal and written.
  • Proficiency in office software applications (e.g., Microsoft Office Suite).
  • Ability to manage multiple tasks while maintaining attention to detail.
  • Experience in team management with a focus on fostering a collaborative work environment.
  • Familiarity with human resources practices is preferred but not mandatory.
  • Strong organizational skills with the ability to prioritize effectively.
  • Knowledge of insurance billing and authorizations is a plus
  • Excellent communication and customer service abilities
  • Passion for supporting children and families in need of ABA therapy
