Job Overview
We are seeking a highly organized and proactive Office Manager to oversee the daily operations of our office. The ideal candidate will have strong leadership skills and a comprehensive understanding of office management practices. This role requires excellent communication abilities, attention to detail, and the capacity to manage various administrative tasks efficiently.
Responsibilities
- Manage front desk operations, ensuring a welcoming environment for visitors and clients.
- Coordinate human resources functions such as employee onboarding and maintaining personnel records.
- Implement and maintain office policies and procedures to enhance operational efficiency.
- Supervise administrative staff, providing guidance and support to ensure team effectiveness.
- Handle phone etiquette with professionalism, addressing inquiries and directing calls appropriately.
- Organize meetings, prepare agendas, and take minutes as necessary.
- Maintain an organized filing system for both physical and digital documents.
- Assist in managing office supplies inventory, placing orders as needed.
- Manage client intake, billing, and insurance coordination
- Ensure smooth communication between therapists, families, and staff
- Maintain accurate records and compliance with HIPAA regulations
- Support a positive, welcoming environment for clients and team members
Requirements
- Proven experience in office management or a similar administrative role.
- Experience in medical or therapy office management preferred
- Strong knowledge of budgeting processes and payroll systems.
- Excellent phone etiquette and communication skills, both verbal and written.
- Proficiency in office software applications (e.g., Microsoft Office Suite).
- Ability to manage multiple tasks while maintaining attention to detail.
- Experience in team management with a focus on fostering a collaborative work environment.
- Familiarity with human resources practices is preferred but not mandatory.
- Strong organizational skills with the ability to prioritize effectively.
- Knowledge of insurance billing and authorizations is a plus
- Excellent communication and customer service abilities
- Passion for supporting children and families in need of ABA therapy
