Description :
This is an entry-level position being the first point of contact for visitors, employees, and external stakeholders while providing essential administrative support to the Human Resources department. This role is crucial in ensuring a positive and efficient experience for all.
Reception Duties :
Welcome and assist visitors, clients, and employees courteously and professionally.
Answer and route incoming calls, take messages, and provide information or assistance as needed.
Receive and distribute incoming mail and packages; prepare outgoing mail as required.
Ensure the front office area is always clean, organized, and presentable.
Administrative Support Duties :
Assist in job posting on job boards and company websites.
Screen resumes and applications and schedule interviews.
Coordinate interview logistics and communicate with candidates.
Prepare and distribute new hire paperwork and ensure completion.
Assist with new employee orientation and training programs.
Assist employees with benefit enrollment and changes.
Act as a point of contact for benefits-related inquiries.
Supports the annual benefits open enrollment process.
Translate to Spanish all documents required for any department.
Organize files, create correspondence, and scan appropriate documents.
Managing calendars, sorting mail, and preparing documents.
Order office supplies as needed.
Assist with the President / CEO agenda.
Assist with the DOJO (Onboarding documents)
Performs other duties as assigned.
Requirements :
Excellent written and verbal communication skills
Strong organizational skills with the ability to multi-task
Bilingual (English - Spanish)
High School Diploma required
Previous experience in HR or administrative support is a plus.
Proficiency in MS Office Suite and HRIS (Human Resources Information System) software.
Detail-oriented with excellent organizational and time management skills.
Ability to maintain confidentiality and handle sensitive information with discretion.
Strong problem-solving abilities and a proactive approach to tasks.
Team player with a willingness to assist in various administrative functions.
Excellent multitasking skills to handle front desk and HR responsibilities simultaneously.
