We are seeking an experienced Administrative Assistant to provide high-level support to our C-suite executive leadership team. This role is ideal for a self-motivated, proactive, and detail-oriented professional with outstanding organizational, communication, and administrative skills, as well as the ability to handle confidential matters with discretion.
ESSENTIAL FUNCTION(S):
The essential functions include, but are not limited to, the following:
Provide executive-level administrative support to the Owner/CEO and other C-suite executives as needed
Proactively manage and organize the Owner/CEO's calendar, contacts, and communications
Anticipate materials and information needed for meetings, ensuring executives are well-prepared
Collaborate with senior leadership team members to coordinate tasks, meetings, and key initiatives
Attend meetings and record accurate minutes as necessary
Correspond with members, guests, and internal stakeholders, both verbally and electronically
Maintain and manage comprehensive, accurate records and reports
Handle sensitive and confidential information with the utmost discretion
Perform other duties as assigned by the executive leadership team
MINIMUM QUALIFICATIONS (Knowledge, Skills, and Abilities):
High degree of administrative and executive ability, particularly in problem-solving and decision-making at the C-suite level
Exceptional oral and written communication skills, with the ability to interact effectively with senior executives, members, and external partners
Advanced organizational skills and the ability to work independently, managing multiple priorities simultaneously
Ability to perform under pressure while maintaining composure and professionalism
Bachelor's degree preferred; 3 years of related experience and/or training; or an equivalent combination of education and experience
Ability to safely operate vehicles as needed
Proven ability to establish and maintain effective working relationships with senior leadership, employees, members, and guests
Professional writing skills for routine reports, correspondence, and executive communications
APPROXIMATE SCHEDULE AND HOURS:
This is a full-time, as-needed position. It will require flexibility in scheduling, including weekdays, weekends, and holidays, as business demands.
PHYSICAL JOB REQUIREMENTS:
Lifting/Pushing/Pulling/Carrying: Moderate physical activity, including bending, stooping, walking, reaching, and standing. Must be able to lift and carry up to 25 lbs.
Bending/Kneeling: Requires consistent physical movement, including bending, walking, reaching, sitting, and standing throughout the day.
This role will involve significant office and computer-based work, with extended periods of sitting.
