Administrative Assistant/Project Coordinator – Join a High-Energy, Fast-Paced Team!
Are you a proactive multitasker with a passion for keeping things running smoothly behind the scenes? We're on the lookout for a sharp, detail-driven Administrative Assistant to support our dynamic team. In this essential role, you'll be the organizational heartbeat of our operations—streamlining communications, handling vital documents, and helping projects move forward without a hitch.
What You'll Do:
- Keep project data and timelines up-to-date in internal and third-party systems.
- Be the friendly first point of contact for incoming calls and correspondence.
- Provide critical clerical support—data entry, filing, and digital organization.
- Assist with customer service, responding to inquiries and resolving issues quickly and professionally.
- Coordinate permits and licenses necessary for active projects.
- Collaborate with project managers and accounting to ensure accurate, on-time invoicing.
- Proactively identify potential roadblocks and work with the team to clear them.
- Track contracts, purchase orders, submittals, and create close-out manuals.
- Draft and distribute internal and external communications.
- Support meeting prep and take on various office management tasks, from ordering supplies to vendor coordination.
- Generate ad hoc reports and provide additional support as needed.
What You Bring:
- Strong organizational chops with a love for details and deadlines.
- Proficiency in Microsoft Office (especially Excel, Word, PowerPoint) and MS Project.
- Experience in fast-paced sectors like telecom, construction, utilities, or wireless is a big plus.
- Excellent communication skills—clear, concise, and professional.
- A collaborative, can-do attitude with the flexibility to take on whatever the day throws your way.
What to Expect:
- Full-time role, Monday through Friday (8 AM – 5 PM), with occasional overtime.
- Minimal travel required.
- You'll be working in a professional office environment.
- Must be able to occasionally lift or move up to 25 pounds.
- Pre-employment background and drug screening required, including participation in a random testing program.
Qualifications:
- High school diploma or GED required; Bachelor’s degree preferred.
- 5–7 years of relevant experience preferred.
