Job Summary:
Schedule and dispatch service vehicles for conveyance of materials for normal installation, service, or emergency repairs. Interact with customers and service technician to provide basic information in response to routine inquiries about products and services. May handle and resolve general complaints.
Duties and Responsibilities:
- Schedule and dispatch service vehicles to appropriate locations, according to customer requests, specifications.
- Prepare daily work and run schedules.
- Confer with customers or supervising personnel to address questions, problems, or requests for service or equipment.
- Relay work orders, messages, or information to or from Service Technicians using telephones or electronic communication.
- Receive or prepare work orders.
- Estimate or quote prices for repair
- Create Shippers to transport equipment from one location to another.
- Record, monitor and maintain files or records of customer requests, work or services performed, charges, expenses, parts/inventory, or other dispatch information in the appropriate software
- Monitor personnel or service vehicle locations and utilization to coordinate service and schedules.
- Issue new customer packets and Form W-9.
- Authority to stop production in the event due to poor quality, unsafe parts or conditions appear.
- Performs other duties as assigned by the immediate Supervisor and/or Manager, which may be outside the scope of responsibilities noted above.
Minimum Qualifications:
· High School diploma or equivalent required
· Knowledge of principles and processes for providing customer and personal services. This includes meeting quality standards for services, and evaluation of customer satisfaction.
· Knowledge of administrative and office procedures and systems such as word processing, managing files and records, and workplace terminology.
· Knowledge of electronic equipment, and computer hardware and software, including applications and programming.
· Active Listening — Giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times.
· Critical Thinking — Using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems.
· Complex Problem Solving — Identifying complex problems and reviewing related information to develop and evaluate options and implement solutions.
· Time Management — Managing one's own time and the time of others.
· Monitoring — Monitoring/Assessing performance of yourself, other individuals, or organizations to make improvements or take corrective action.
