What are the responsibilities and job description for the Receptionist position at Boies Schiller Flexner LLP?
Reporting to the Office Administrator, responsible for greeting, directing and recording arrival of all clients, guests and service personnel. The ideal candidate will provide overall administrative support in addition to receptionist duties. For Example, using legal document software’s to file electronically.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Greets guests/clients, informs relevant personnel of their arrival. In situations where the party is not in the office, inform the appropriate persons or redirect the client/guest to someone who may be able to assist. Maintains a log of clients/guests.
- Answers telephone calls, routing the calls as quickly as possible to the appropriate part. Takes and delivers messages, either internally or externally.
- Maintains log of office personnel whereabouts. Maintains conference room schedules and log of incoming/outgoing courier packages.
SECONDARY RESPONSIBILITIES:
- Typing, mailing, sorting and other clerical tasks as assigned.
- Assisting legal assistants with filing and backlogging the appropriate paperwork.
SUPERVISORY RESPONSIBILITIES:
This job has no supervisory responsibilities.
QUALIFICATIONS AND EXPERIENCE:
- High school diploma or general education degree (GED).
- Two years of receptionist experience.
- Legal assistant experience is a plus.
AVAILABILITY REQUIREMENTS:
- Attendance Requirement Must maintain regular and acceptable attendance at such level as is determined in the Firm’s sole discretion. In office five days a week.
- Regular Hours Requirement Must be regularly available and willing to work at least 7.5 hours per day, 37.5 hours per week as the Firm determines are necessary or desirable to meet its business needs.
- Overtime Requirement Must be available and willing to work such overtime per day or per week as the Firm determines is necessary or desirable to meet its business needs.
- Weekend and Holiday Requirement Must be available and willing to work such weekends and holidays as the Firm determines are necessary or desirable to meet its business needs.
- Travel Requirement Must be available and willing to travel to such locations and with such frequency as the Firm determines is necessary or desirable to meet its business needs.
