Summary:
Provides receptionist assistance for mortuary and/or cemetery activities and assistance to facility visitors by performing the following duties.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
• Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department.
• Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.
• Answers questions about organization and provides callers with address, directions, and other information.
• Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel. Escorts visitors to the staterooms, chapel area or other areas of the facility as needed. Maintains an awareness of the whereabouts of visitors.
• Receives, sorts, and routes mail, and maintains and routes publications.
• Creates and prints fax cover sheets, memos, correspondence, reports, and other documents when necessary.
• Performs other clerical duties as needed, such as filing, photocopying, and collating. Updates and distributes the daily schedule. (Weekend positions only; not evening positions.)
• Accepts/processes payments on accounts and payments received during daily arrangements from clients and issues receipts.
• Communicates the requests of visitors to funeral directors, family service staff, or other appropriate staff members.
• Facilitates effective coordination of the arrangement offices. Collects personal effects delivered by client families; completes the personal effects form and routes to the funeral director.
• Serves as an assistant to the Manager with secretarial tasks, including but not limited to typing correspondence and distributing documents.
• Reviews, balances, and interprets computer reports, and makes corrections.

Education/Experience
High school graduate or equivalent or three to six months related experience and/or training; or equivalent combination of education and experience.
Language Ability
Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization. Ability to read and comprehend simple instructions, short correspondence, and memos.
Math Ability
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent.
Reasoning Ability
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
Computer Skills
Knowledge of basic computer skills including Word and Excel.
