In the role of Temporary Office Administrator, you will be responsible for processing, capturing and providing follow up on necessary information for the Vineyards, Grower Relations, and Operations departments. This role is vital to the efficient operation of the department through professional administrative support in the areas of compliance, inventory, expense and invoice processing, data tracking and general departmental support. This role reports to the Controller.

This part-time role may be performed remotely. Average hours per week are estimated to be 16 – 20 hours.

- Farm Labor Contractors (FLC) Labor Log & Invoice Tracking – Data entry of FLC hours, location and tasks
- Bulk Wine Purchases –
- Purchase Requests
- Winemaker Database (WMDB) contract
- Notify Shipping Team
- Vineyard Purchases –

- SAP goods receipt (M&GO)
- Send invoices to Accounts Payable

Must Requirements
- Degree in Business Administration, Human Resources or related field preferred with 2 years of related professional or administrative experience; or equivalent education/experience combination
- Strong administrative and time management skills with ability to manage one’s own time schedule and resources needed to complete tasks according to expectations
- Demonstrated ability to prioritize tasks, independently plan, coordinate and complete projects with accuracy and within designated timeframe
- Communication: Requires exceptional written and verbal communication skills and the ability to develop and maintain effective working relationships with all levels of internal and external contacts, employees, vendors and guests
- Advanced computer skills in SAP, Microsoft 365 Office applications including Word, PowerPoint, Excel; email and database applications; Internet and related programs
- During busy periods, effort will be made to provide employees with adequate advance notice should overtime become necessary. All overtime work must have the prior authorization of the employee’s supervisor before it is performed.
Preferred
- Bilingual English/Spanish (reading, writing, speaking) a big plus, but not required
- Advanced Excel skills with working knowledge of pivot tables; look ups
Additional Comments Management retains the discretion to add or change the duties of the position at any time
Physical Requirements Ability to lift and carry up to 20 lbs. on an occasional basis; push and pull up to 30 lbs. on an occasional basis; ability to sit and work at a desk for long periods of time; requires ability to walk and stand; reach outward and upward, climb, crawl, squat, kneel, and bend; requires hand and finger dexterity for keyboarding and working at computer for extended periods of time.
Compensation The hourly range for this role is $24 to $31 per hour. Actual rates will vary and are based on a candidate’s relevant education, qualifications, experience, skillset, competencies, internal equity, location and alignment with market data.
