We are looking for a well-organized, passionate person with an interest in making an impact across the entire company. The Executive Assistant will be responsible for delivering best-in-class administrative support to the Executive Director of a fast growing organization. This is a fully onsite role based in Cambridge.
\n- Work independently with a high level of integrity and discretion while handling and maintaining highly confidential and sensitive information
- Provide proactive administrative support to the executive director, including scheduling meetings, preparing agendas, taking minutes and sending out follow up action items
- Interface with C-level executives internal and external to the company virtually, locally and internationally
- Manage complex, rapidly shifting calendars with minimal guidance, making recommendations to organize and optimize leaders’ time
- Assist with board and company meetings; preparing agendas, slides, meeting materials on behalf of the executive team
- Work closely and effectively with the Chief of Staff
- Coordinate complex virtual meetings, international and domestic travel, accommodations and logistics
- Complete expense reports
- Greeting guests and providing general administrative support to employees
- Scheduling external guest presentations, speaker series and internal workshops
- Working with other administrative support to organize both internal and external special events/parties
- 15 years of high level, complex executive administration work experience at the SVP or C-level
- Power user of both Microsoft Office and Google GSuite
- Demonstrated ability to take initiative, anticipate needs of executives and their teams and exercise independent, sound judgment
- Strong organizational skills that reflect ability to perform and prioritize multiple complex tasks seamlessly
- Demonstrated attention to detail and project manage key strategic initiatives
- Excellent verbal and written communicator with the ability to interact with people of all levels in a confident, professional manner
