Position Summary:
The Executive Assistant will coordinate and manage executive scheduling, prepare and organize important strategic materials and plans, and support board meetings and the preparation of board materials. The Executive Assistant will ensure meetings are efficient and effective and will serve as a trusted partner to the Leadership Team to enable performance against Boston Pharmaceuticals’ corporate goals. The dynamic nature of this role requires that the ideal candidate have exemplary time management and relationship-building skills along with the ability to proactively identify and anticipate the Leadership Team’s needs. The role must interact seamlessly and with a professional demeanor across a broad range of individuals including members of the Senior Management Team, Board of Directors, and other internal and external stakeholders.
Roles & Responsibilities:
• Provide administrative support to Executive and R&D Leadership Teams, including calendaring, travel planning, and personal organization and planning
• Develop in-depth knowledge of company operations, policies, and procedures; use this knowledge to guide and support others
• Collect and prepare information for use in discussions/meetings of executive staff and outside individuals; develops and circulates minutes for key meetings as needed
• Make high-level contacts of a sensitive nature inside and outside the company
• Support the team during critical external activities including participation in industry conferences
• Collaborate with People Team and others to plan and execute on internal events, including offsites and other employee engagement activities, and to support office administration activities as needed
Qualifications:
• Bachelor’s Degree required
• 3 years in administrative support position, including strong experience interacting with senior leadership and key internal and external stakeholders
• Highly organized and adept at time management
• Trustworthy; ability to handle highly sensitive and confidential information with discretion
• Strong verbal and written communication skills
• Ability to work independently and with flexibility to handle workflow in a fast-paced environment
• Collaborative and positive mindset; willingness to work cross-functionally with colleagues of all levels
