What are the responsibilities and job description for the Preventative Maintenance Administrative Assistant position at Boyer Hill Military Housing?
The Preventative Maintenance Administrative Assistant will provide administrative oversight for our preventative maintenance program and will back up the Administrative Project Coordinator. This position will build and maintain schedules for technicians and contractors while ensuring that specifications are being followed and work is proceeding with quality and on schedule.
Job Duties:
· Oversee and manage the coordination and scheduling of the Occupied Annual Preventative maintenance program (PM).
· Scheduling technicians by pulling reports and merging to other reports to be organized and make good use of time to prepare and forecast scheduling.
· Follow up on technicians notes and work orders.
· Ensure additional work orders are scheduled and addressed by coordinating with the Occupied Maintenance Coordinator.
· Properly update and track assets that are related to the PM program.
· Assist with managing schedules of cleaners, contractors, and technicians
· Strong communication skills are required to relaying information to maintenance technicians, contractors, supervisors, and residents
· Ensure communication is escalated in a timely professional manner regarding missing items or items on hold
· Ensure projected maintenance make ready dates or completion dates are met
· Attend applicable meetings, prepare, and maintain meeting agendas and minutes
· Prepare and submit closeout paperwork
· Audit and submit invoice payments for contractors
· Assist with auditing cleaners paysheets for payroll
· Will create work orders and follow up on open work orders when necessary
· Audit closed work orders to ensure proper photos and notes are in to submit and close make ready packets.
· Must be able to multitask and prioritize workload appropriately with frequent interruptions
· Performs other duties as assigned

Wage: $19 - $24
Schedule: Monday through Friday, 7:00AM to 4:00PM with an hour lunch
