JOB SUMMARY
The Director of Clubhouse Operations exercises a pivotal role in ensuring the seamless, efficient, and exemplary daily operations of the Clubhouse, serving boys ages 7 to 21. Reporting to the Clubhouse Director, the Director of Clubhouse Operations works collaboratively with the Clubhouse Leadership Team to foster a safe, welcoming, and dynamic environment for the staff, members and their families.
KEY RESPONSIBILITIES
Leadership and Supervision
- Hire, train, onboard, and supervise front-line clubhouse operations staff.
- Provide leadership and direct supervision to the Operations Associate, Operations Aides, and Maintenance Team.
- Lead ongoing staff training initiatives on policies, procedures, compliance, and BCNY systems such as the Member Information System (MIS) and payroll.
- Collaborate with the Clubhouse Leadership Team to foster a culture of operational excellence, teamwork, and youth-centered service delivery.
- Assist the Clubhouse Director in observing program areas and completing written reports as requested.
- Promote staff accountability and professional development to ensure consistent, high-quality service.
Program Excellence and Member Services
- Oversee the member registration process, ensuring an efficient and welcoming experience for youth and families.
- Work with program staff to plan and execute special events, parent engagement activities, talent shows, guest presentations, and meetings that enhance the member and family experience.
- Deliver high-quality customer service by ensuring the front desk is staffed at all times, visitors are greeted courteously, and inquiries regarding Clubhouse procedures and programs are handled promptly.
- Maintain and update accurate member data in the Member Information System (MIS); oversee audit of member files for completeness and accuracy.
- Coordinate member recruitment and retention efforts in collaboration with program staff.
- Manage Clubhouse program schedules and track all activities, including staff, volunteer, and member attendance; ensure updated information is reflected on the BCNY website.
- Coordinate member transportation services, including buses for trips and escorts to and from schools; troubleshoot issues and report chronic service concerns.
- Oversee daily food services, ensuring accurate meal tracking and timely resolution of service issues.
Operations
- Manage daily clubhouse operations to ensure smooth logistics and efficient processes.
- Establish and maintain organized paper and electronic filing systems, including attendance records, correspondence, and program documentation.
- Process and track clubhouse invoices and monitor budgetary spending in collaboration with the Clubhouse Director and full-time staff.
- Gather and submit part-time payroll for approval before submitting it to Finance
- Manage general clubhouse services, including procurement of supplies and equipment, non-plant property maintenance, telephone systems, and security functions (keys, alarms).
- Coordinate and track maintenance requests; and escalate chronic service issues to the Clubhouse Director.
Safety and Compliance
- Ensure full compliance with all applicable regulations, including Department of Health (DOH), Office of Children and Family Services (OCFS), School Age Child Care, and Department of Labor requirements.
- Establish and maintain accurate personnel files for all full-time and part-time staff, ensuring OCFS-required documentation and photo IDs are current.
- Complete and file all required compliance reports and contracts with regulatory agencies.
- Conduct periodic internal audits and reviews to identify and resolve compliance issues, ensuring 100% regulatory adherence.

- Provide staff training on compliance-related topics and emergency procedures to maintain a safe and secure clubhouse environment.
QUALIFICATIONS
- Bachelor’s degree in Business Administration, Public Administration, Management, Youth Development, or a related field; equivalent combination of education and at least five years of relevant experience will be considered.
- Proven experience working with youth with a focus on serving economically and educationally disadvantaged communities.
- Demonstrated ability to be a founding member of a new leadership team, contributing to the vision, structure, and culture of a new clubhouse and its programs.
- Experience working on a high functioning team planning, coordinating, and facilitating youth programs and activities that are engaging, developmentally appropriate, and aligned with youth development best practices.
- Strong leadership skills, with a collaborative approach to managing teams and building a positive, mission-driven organizational culture.
- A team player mindset, with the ability to work collaboratively and supportively as part of a high-functioning leadership team.
- Flexible and adaptable, with a willingness to work a demanding schedule, including evenings and weekends, to meet the needs of the clubhouse and its members.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), with advanced Excel skills; experience with data management systems and a willingness to learn new software platforms as needed.
