Position Summary

This role includes general financial tasks such as accounts payable and receivable management, cash flow monitoring, and financial forecasting. Familiarity with QuickBooks is essential for maintaining accurate records, streamlining financial operations, and supporting compliance-related documentation. The ideal candidate will have a strong background in financial management and grant compliance, ensuring the organization meets all funding requirements efficiently and effectively.
Job Requirements
- Bachelor’s degree in finance, accounting, related field, or relevant experience.
- Minimum of 2-4 years of experience in grant management, financial analysis, or a related role within a nonprofit organization.
- Proven track record of successfully writing and managing grant proposals and reports.
- Proficiency in Microsoft Excel and experience with financial software (QuickBooks).
- Familiarity with grant management systems and reporting tools.
- Strong understanding of grant compliance regulations, federal and state funding guidelines, and nonprofit financial practices.
- Awareness of relevant laws and regulations related to grant funding and reporting.
- Excellent analytical skills with the ability to interpret financial data and develop budgets and forecasts.
- Strong written and verbal communication skills, with the ability to prepare clear and concise reports and proposals.
- Ability to effectively collaborate with internal teams and external funders.
- Strong organizational and time-management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
- Meticulous attention to detail to ensure accuracy in financial reporting and compliance.
- Strong problem-solving skills with the ability to adapt to changing circumstances and find innovative solutions.
- Certifications (optional but preferred): Certification in grant management or nonprofit financial management (e.g., CGMS, CPAs).
Key Responsibilites
Grant Reporting & Balance Management: Maintain accurate and up-to-date records of grant activities by updating Excel spreadsheets with new grants, tracking year-to-date expenses, and monitoring remaining balances. Generate reports in PDF format and distribute them to Unit Directors, the Operations Team, and HR to ensure alignment across departments.
Grant Compliance Oversight: Ensure all grant activities adhere to applicable laws, regulations, and funder requirements, including preparation for audits and financial reviews. Serve as the primary point of contact for compliance-related inquiries. Grant Reimbursement Processing: Submit timely and accurate reimbursement requests, including all required documentation, for major funders such as SOR and 21CCLC. Collaborate with administrative staff as needed to ensure completeness and accuracy. Budgeting and Forecasting: Develop, manage, and monitor budgets for grant-funded projects, ensuring they align with organizational and funder guidelines. Provide forecasts to support strategic decision-making.
Payroll Processing: Oversee payroll processing by verifying timecards, ensuring time is coded correctly to relevant grants, and approving time-off requests. Prepare payroll reports for CEO approval and submit payroll once approval is granted.
Financial Reporting: Assist with the preparation of monthly, quarterly, and annual financial reports related to grants and organizational budgets. Ensure reports are accurate, detailed, and submitted on time to meet organizational and funder requirements.
Fund Disbursement Monitoring: Track and oversee the use of grant funds to ensure expenditures comply with approved budgets. Coordinate necessary adjustments with the approval of relevant stakeholders to maintain compliance.
Collaboration with Program Teams: Work closely with program teams to ensure financial resources are allocated appropriately to support program goals and adhere to grant specifications.
Other Duties as Assigned: Assist with additional financial or compliance-related tasks as needed to support the organization’s operational and strategic goals.

Work Environment
While performing the duties of this job, the employee is often in a clean, non-smoking, heated and cooled office environment.
