Position: Office Secretary
Location: Brecksville-Broadview Heights Middle School
Hours: 8 hours per day
Contract: 212-Day Contract
Effective: 08/1/2025

BRECKSVILLE-BROADVIEW HEIGHTS CITY SCHOOL DISTRICT
Description: Accurately completes the requirements of the Middle School Office. Perform clerical and general office duties, including word processing, computer applications, and filing, maintaining records, and operating special office machines.
NOTE: The below lists are not ranked in order of importance.
Duties and Responsibilities:
- Ensure safety of students
- Assist with all discipline correspondence
- Create and print all Academic and Athletic Awards, recognitions, and programs
- Assist counselors
- Prepare correspondence and other word processing/computer applications duties as may be directed by the Building Principal, Assistant Principal or Guidance Counselor
- Issue appropriate passes to students
- Assist in the supervision and training of student assistants
- Perform duties of receptionist by answering telephone, recording appropriate messages, sorting/distributing mail, and greeting visitors
- Operate and maintain all office equipment including copiers, fax machine and computer
- Handle routine correspondence independently
- Input information into, and retrieve information from computer
- Make contacts with the public with tact and diplomacy
- Maintain confidential information
- Interact in a positive manner with staff, students and parents
- Promote good public relations by personal appearance, attitude and conversation
- Attend meetings and in-services as required
- Gather, request, and/or provide factual information, requiring reference to a variety of sources
- Maintain records as assigned
- Operate special office equipment as needed
- Assist in procurement, unpacking, distribution, storage, etc. of supplies, materials, and equipment
- Meet individuals and general public, giving out information pertaining to procedures and policies
- Assist the Administrative Assistants as needed
- Withdraw students
- Monitor students sent to office
- Dispense medication in the absence of the Health Care Coordinator/Health Aide
- Such other duties directly related to the essential functions of the position as may be assigned by the Building Principal
Qualifications
- High School diploma or general education degree (GED)
- Such alternatives to the above qualifications as the Superintendent and/or Board may find appropriate
Required Knowledge, Skills, and Abilities
- Ability to type/word process at a minimum of 50 wpm with minimal errors
- Ability to work effectively with others
- Ability to communicate ideas and directives clearly and effectively both orally and in writing
- Effective, active listening skills
- Organizational and problem-solving skills
- Ability to operate office equipment, e.g., copy machine, fax machine
- Excellent computer skills
- Ability to utilize appropriate computer software e.g., LNOCA, SIS, DASL, INFO Snap, Progress book and Excel
- Ability to generate correspondence with accurate spelling/punctuation in an acceptable format
- Ability to generate a table, spreadsheet or database that can be sorted and/or filtered

- Frequent requirements to sit, stand, walk, hear, see, read, speak, reach, stretch with hands and arms, crouch, kneel, climb, and stoop

- Frequent interruption of duties by students, visitors, staff and/or telephone
- Occasional requirement to lift, carry, push and pull up to a maximum of 25 pounds
- Occasional overtime work may be necessary
- Occasional exposure to blood, bodily fluids and tissue
