Job Overview:
We are seeking a friendly, organized, and efficient Front Desk Receptionist/Office Assistant to join our small family-owned HVAC company in Lake Oswego, OR. As the first point of contact for our customers, you will play a crucial role in creating a welcoming environment and ensuring the smooth operation of our office.
Key Responsibilities:
- Reception Duties:
- Answer and direct incoming calls using a multi-line phone system.
- Respond to inquiries via phone, email, providing accurate information and assistance.
- Office Administration:
- Perform general clerical duties, including photocopying, faxing, mailing, and filing.
- Maintain office supplies inventory and order as needed.
- Manage incoming and outgoing mail and packages.
- Scheduling and Coordination:
- Assist in scheduling appointments and coordinating HVAC service calls.
- Maintain and update the company calendar with appointments, meetings, and events.
- Coordinate with HVAC technicians to ensure timely and efficient service delivery.
- Customer Service:
- Address customer inquiries and complaints promptly and professionally.
- Assist customers with billing questions and process payments.
- Follow up with customers to ensure customer satisfaction.
- Data Entry and Record Keeping:
- Maintain accurate and up-to-date customer records and files.
- Enter data into the company’s CRM system and update as necessary.
- Prepare and maintain various reports and documents.
- Support Duties:
- Assist with basic bookkeeping tasks such as invoicing and expense tracking.
- Support the management team with special projects and tasks as needed.
- Provide administrative support to other team members as required.
Qualifications:
- High school diploma or equivalent; associate’s degree or higher preferred.
- Proven experience as a receptionist, office assistant, or in a similar role.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Proficiency in Google Workplace(Google Calendar, Sheets, Docs. etc)
- Customer service-oriented with a friendly and professional demeanor.
- Ability to work independently and as part of a team.
