Join our family owned HVAC company in Lake Oswego as a full time Receptionist/Office Assistant. This is a full time position Monday-Friday 8:00-4:30.

Job Overview:

We are seeking a friendly, organized, and efficient Front Desk Receptionist/Office Assistant to join our small family-owned HVAC company in Lake Oswego, OR. As the first point of contact for our customers, you will play a crucial role in creating a welcoming environment and ensuring the smooth operation of our office.

Key Responsibilities:

  • Reception Duties:
  • Answer and direct incoming calls using a multi-line phone system.
  • Respond to inquiries via phone, email, providing accurate information and assistance.
  • Office Administration:
  • Perform general clerical duties, including photocopying, faxing, mailing, and filing.
  • Maintain office supplies inventory and order as needed.
  • Manage incoming and outgoing mail and packages.
  • Scheduling and Coordination:
  • Assist in scheduling appointments and coordinating HVAC service calls.
  • Maintain and update the company calendar with appointments, meetings, and events.
  • Coordinate with HVAC technicians to ensure timely and efficient service delivery.
  • Customer Service:
  • Address customer inquiries and complaints promptly and professionally.
  • Assist customers with billing questions and process payments.
  • Follow up with customers to ensure customer satisfaction.
  • Data Entry and Record Keeping:
  • Maintain accurate and up-to-date customer records and files.
  • Enter data into the company’s CRM system and update as necessary.
  • Prepare and maintain various reports and documents.
  • Support Duties:
  • Assist with basic bookkeeping tasks such as invoicing and expense tracking.
  • Support the management team with special projects and tasks as needed.
  • Provide administrative support to other team members as required.

Qualifications:

  • High school diploma or equivalent; associate’s degree or higher preferred.
  • Proven experience as a receptionist, office assistant, or in a similar role.
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Proficiency in Google Workplace(Google Calendar, Sheets, Docs. etc)
  • Customer service-oriented with a friendly and professional demeanor.
  • Ability to work independently and as part of a team.

Job Type: Full-time

Pay: $20.00 - $24.00 per hour

Expected hours: 40 per week
