General Description:
The Administrative Assistant Level 1 position is responsible for or the day-to-day administrative duties of the Dillingham office.
Essential Duties & Job Functions:

- Answer phones and VHF calls in a cheerful manner
- Meet and greet customers to accept their fuel orders and dispatch them to the drivers.
- General typing and data entry.
- Handle daily sales money and reconciliation.
- Accounts receivable to include attempting to collect past due accounts.
- Ordering office supplies.
- Pump fuel when needed.
- End of month statements and reports.
- Greets all visitors in a professional, friendly manner.
- Operates a multi-line switchboard and routes calls in a professional, friendly manner.
- Maintains (updates and revises) Company phone lists on a monthly basis and uses them to route calls to Company personnel. Distributes revised phone lists to Company personnel.
- Responsible for recording accurate, detailed telephone messages and routing them to recipients.
- Receives, sorts and distributes incoming mail. Holds outgoing mail for pickup.
- Notifies recipients of packages delivered to the freight room.
- Maintains the office area in a neat and professional manner.
- Provides administrative support to the Management
- Performs clerical duties including (but not limited to) filing, scanning, labeling, and folder creation.
- Other duties as assigned.
Knowledge, Skills, and Abilities:
- Ability to communicate effectively, professionally, and pleasantly in an office environment and with visitors, vendors and employees as needed to perform essential duties and job functions.
- Skilled in interpersonal communication with the ability to work closely in a small office
- Knowledge of company processes and procedures.
