Excellent clerical, recordkeeping, computer, and oral and written communication skills necessary. Strong knowledge of database management and creating reports from data preferred. Experience with WinCap, Excel, Microsoft Office, and work order Facilities Use Management programs.SKILLS : Working knowledge of schools and prior clerical experience (or equivalent) is desired.PRIMARY RESPONSIBILITIES : o Assistant the Director in all aspects of the Buildings and Grounds Department.o Prepares all invoices and purchase orders for department. Record, receive and send all bills to be paid to Accounts Payable.o Files purchase orders, invoices, state contracts, etc.o Sends for references for prospective employees and prepares appointment recommendations for Buildings & Grounds personnel.o Prepares correspondence for the Director including confidential letters and memos relating to finances, employee appointments, discharge, discipline, etc.o Maintains Buildings & Grounds and Security personnel records - i.e. absence, vacation, personal time.o Assists with work order management system.o Maintains substitute list and calls substitutes for absence of regular employees. Maintain summer worker list.o Completes payroll for the Buildings & Grounds and Security staff.o Keeps utility useage records and prepares annual report.o Assists in the preparation of the annual budget.o Maintain inventory records.o Reviews Facility Use Request and prepares monthly Facility Use Report.o Other duties as directed.Civil Service : Those individuals classified as Office Clerk III OR reachable on the current Civil Service Office Clerk III list OR otherwise qualified by the rules of the Monroe County Civil Service Commission will be considered.You do not need to be on the Civil Service list or hold the title, but if you are the selected candidate then the position would be temporary. You must than take the next available exam for the title and be reachable on the list to be permanently appointed.QUALIFICATIONS :
- Graduation from high school or possession of an equivalency diploma, plus EITHER : A. Successful completion of at least thirty (30) credit hours from a college or university; OR,B. One (1) year paid full-time or its part-time equivalent office clerical or secretarial experience
- OR,C. An equivalent combination of education and experience as defined by the limits of (A) and (B) above.
- The ability to work independently and manage time effectively.

- The ability to carry out oral and written instructions.
- Displays a positive attitude and builds healthy relationships with students, staff and families.
