Assistant Gallery Manager
The Assistant Gallery Manager’s role combines the role of Sales Associate with additional duties in support of the various activities involved in running a successful art gallery. Tasks range from general administration, supervision of sales staff, bookkeeping, marketing, developing relationships with both artists and clients. They would also assist the Gallery Manager in hanging and displaying artworks.
· Strong communication skills to work with clients, colleagues and artists.
· Experience of working an art gallery or similar retail environment.
· An understanding and appreciation of art
· Experience in using ArtCloud or other similar inventory, CRM and point of sales system.
· Good Computer skills and willingness to learn new programs as required.
· Experience in art handling and packing.
· Proficiency in Photoshop, InDesign, QuickBooks online, and Microsoft 365 preferred.
· Sales and customer service
o Directly engaging with visitors.
o Being informative about the artists and their work.
o Handle sales through invoicing, payment and packing.
o Collecting contact information.
o Following up on sales and enquiries by email and phone.
o Answering telephone enquiries.
o Generate Certificates of Authenticity.
· Gallery display
o keeping displays tidy and dusted.
o Filling gaps in the display following sales.
o Filling and touching up walls after installations and as needed.
o Keep carpet vacuumed and floor clean.
o Assisting the manager during installations.
· Manage inventory
o Unpack and condition check work arriving in the gallery.
o Inform artists on sales, arrival and returns of work.
o Enter work into inventory following guidelines for website display.
o Check inventory entries by other staff to ensure they follow guidelines for website display.
o Update pricing as new price lists arrive from artists.
· Supplies
o Monitor and order janitorial supplies
o Monitor and order office supplies
· Bookkeeping
o Pulling reports from ArtCloud
o Entering sales and payment into QuickBooks Online
o Reviewing Invoices and checking that consignment costs are correct.
o Preparing artist statements for payment.
· Marketing
o Work collaboratively with the owner and Gallery Manager on the schedule and content of the gallery’s newsletter.
o Work with the manager on social media posting
· Team Effort
o Communicate with each other.
o Make good notes in ArtCloud.
o Leave important information on the While You Were Gone doc.
o Be familiar and able to pick up for other’s tasks if they are not in at the time they need doing or just need assistance.
o Keep the staff areas clean, and work as a team in keeping the gallery clean and tidy.
Other tasks that are relevant to ongoing gallery business may be delegated by the owner and Gallery Manager as appropriate.
The Assistant Gallery Manager is usually found working in the gallery. Their working hours can extend during gallery events, and may be required to work during weekends, or when the gallery is open. Must be able to lift 30 Lbs.
Job Type: Full-time
Pay: $22.00 - $26.00 per hour
Expected hours: 40 per week
