- Two years’ experience in business/office operations
- Associates in Business Administration, Logistics or related field (Preferred)
- Previous experience working with transportation or logistics management (Preferred)
- Familiarity with fleet management software or scheduling tools (Preferred)
POSITION PURPOSE
To perform secretarial functions and related activities for the Supervisor of Transportation in an effective and efficient manner; providing exemplary customer service to all internal and external customers.
DEMONSTRATED SKILLS AND ABILITIES
- Proven experience in a secretarial or administrative role, preferably in the transportation industry.
- Strong computer skills, including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and transportation management software.
- Experience with data entry, database management, and report generation.
- Exceptional organizational skills with the ability to prioritize tasks and manage time effectively.
- Excellent written and verbal communication skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Strong attention to detail and problem-solving skills.
- Knowledge of transportation regulations and safety standards is a plus.
- Ability to handle stressful situations, reacting calmly in emergency situations, cope with change, and work under pressure while using good judgment in making decisions
- Knowledge of Infinite Campus, Aesop, timeclock, School Dude, and School Messenger programs desired, but not required.
- Ability to multi-task various responsibilities in a pressure related environment with frequent interruptions
- Demonstrated history of satisfactory job attendance
- Maintain strict confidentiality.
- Operate two-way radio system with buses.
- Operational knowledge of Versa Trans Routing Software.
PERFORMANCE ACCOUNTABILITIES
- Manage transportation schedules, routes, and driver assignments, ensuring all logistics run smoothly.
- Handle all administrative tasks related to transportation, including filing, data entry, and managing communications.
- Prepare and maintain accurate records, reports, and documents related to transportation operations.
- Assist with invoicing and budget tracking for transportation services.
- Coordinate communication between transportation staff, clients, and vendors, ensuring timely responses.
- Use transportation management software, databases, and tools to track and optimize operations.
- Organize meetings, coordinate travel arrangements, and assist with special projects as needed.
- Ensure compliance with transportation policies, procedures, and regulations.
- Maintain office supplies and assist with the procurement process for transportation-related needs.
- Provide support for vehicle maintenance schedules and related documentation.
Salary : $22
