What are the responsibilities and job description for the School Secretary position at Butler Area School District?
The Butler Area School District is hiring for school secretaries in various school buildings. Twelve, ten and nine month positions are available.
Job Summary
- Acts as the first point of contact for parents and other visitors in the assigned schools. Greets visitors and assists them with their needs
- Answers all incoming phone calls and assists callers, or directs them to the appropriate person to help them meet their needs. Monitors voicemails on the main school phone line
- Works with the building principal and substitute service provider to schedule daily substitute coverage for the building
- Assists with the new student enrollment process and kindergarten registration
- Generates purchase orders and orders supplies for the assigned school
- Assists with student attendance tracking
- Works closely with food services to provide daily lunch counts
- Works closely with students, teachers, principals, administrator, and PTO members
- Assists with employee attendance tracking and payroll entry
- Assembles materials for bulk mailings as needed
- Manages reservations for building conference rooms
- Maintains and distributes keys to building staff
- Oversees building copier machines and works with the vendor and business office to address issues as they arise
- Collects student obligations and prepares/submits deposits to the business office
- Assists with the student arrival and dismissal process, including bus arrivals and dismissals, parent pickups, late arrivals/early dismissals
- Maintains staff directory
- Maintains student information in online student information system
- Assists with the scheduling and documentation of safety drills
- Collects clearances for student teachers and volunteers
- Schedules and coordinates school pictures
- Distributes mail for the building
- Creates and maintains locker assignments for students
- Collects money and submits deposits for jeans day
- Assists with the scheduling of detentions, discipline meetings and student drug testing as needed
- Assists with the ordering and distribution of yearbooks
- Assists with the scheduling and documentation of safety drills
- Collects clearances for student teachers and volunteers
- Distributes transcripts as needed
- Assigns/maintains parking permits
- Acts as the building liaison for the business office, payroll and human resources
- Performs other duties as assigned by the building principal
Minimum Qualifications:
- High School diploma or equivalent
- Proficient in using current applicable technology such as telephone systems, computer skills, email, GoogleSuite, Excel etc.
- Prior clerical experience preferred

Job Types: Full-time, Part-time
Pay: Up to $17.91 per hour
Expected hours: 37.5 per week
